How to Indicate Inbound and Outbound Referrals (CRM)

For Business Development teams, documenting referrals is critical. In this article we are going to show you how to indicate Inbound and Outbound referrals in the Dazos CRM.

Before You Begin

  • Ensure you have the necessary permissions to access the Leads and Intake Opportunities modules.

  • Verify if the Referral Source (Facility) already exists in your database to prevent duplicate entries.

First - A few quick definitions for Terms that you’ll be seeing in this article

Key Definitions

  • Inbound Referral: A patient referred to your facility from a partner.

  • Outbound Referral: A patient/lead referred from your facility to a partner (e.g., due to clinical fit or level of care requirements).

  • Referral Source: The specific Facility involved in the exchange.

  • Referral Contact: The individual professional at the Facility you are communicating with.

Inbound Referrals

Indicating an Inbound Referral in Dazos is quite simple. On both the Leads Module and Intake Opportunity Module, there is a field called “Referral Source”.

To update the Referral Source:

  1. Locate The Referral Source field on your Lead or Intake Opp

    1. This is by default on the Key Fields/Summary View

  2. Search for the name of the Facility you’d like to mark as the Referral Source

    1. You can edit in line (one field at a time) by clicking the

    2. If the Referral Source does not yet exist, you can “Quick Create” one via the + sign in your top toolbar OR you can quick create one when using the edit icon in your primary toolbar here:

      1. Note: Clicking this overall page edit will take you from the Summary Page so you may need to re-locate the “Referral Source” field:

  3. Once you’ve assigned the Referral Source, save your changes. From here, this will be considered an Inbound Referral!

Outbound Referrals

Indicating an Outbound Referral is done a little differently than Inbound. For outbound Referrals, you’ll leave the Referral Source field blank.

To indicate an Outbound Referral, you will:

  1. Open any Lead or Intake Opportunity (this can be done at either stage)

  2. Click on the “Outbound Referral” icon in your record too bar

    1. If you’re unsure which button it is, hover over each icon until you reach the one that says outbound referral

  3. Once you’ve navigated to the OR tab, click

  4. You’ll then be re-directed to the Add New Outbound Referral page and prompted to fill out required fields-

  1. Once you’ve finished adding required fields, save your Outbound Referral

If you ever need to refer back to previously Created Outbound Referrals

  1. Open the “Intake Opportunities” tab on your left menu

  2. Click “Outbound Referral”

  3. (Optionally) Choose which filtered List View you’d like to review or review the default list you’ve selected

  4. (Optionally) Filter by Name or any other columns that may be helpful in finding historical ORs to review
