Frequently Asked Questions
Q: Why can't I just modify the default workflow's point values?
A: The default 'Update Intake Points for Opportunities' workflow has fixed point values that cannot be modified through picklist settings or standard customization options. Creating custom workflows is necessary because it gives you complete control over:
Which specific sales stages receive points.
How many points each individual stage is worth.
Any additional conditions that might affect point assignment.
Q: How do I customize point values for my sales stages?
A: To set up custom points, you need to turn off the default system and build your own rules. Follow these steps:
Disable the existing workflow: First, locate and disable the default 'Update Intake Points for Opportunities' workflow. This is crucial to prevent conflicts with your new custom workflows.
Create custom workflows: Create a separate, new workflow for each sales stage that needs a point value assigned to it.
Set up conditions: For each custom workflow, configure the conditions so the rule only triggers when an opportunity reaches that specific sales stage.
(Default is always 201. if sales stage is not admitted, make it 0
2. if payment method is scholarship, points are 0
3. If the Transfer to LOC is IOP we lower that by half.
4. and then the result of that gets multiplied by 70% when the Treatment Program is "X" or "Y")
Define custom point values: Finally, set the action in each workflow to update the "intake points" field with your desired point value for that stage.
⚠️ Warning: Always ensure the original default workflow remains disabled. If both the default and custom workflows run simultaneously, it will cause conflicting point assignments.
✅ Best Practice: After setting up your custom workflows, test them thoroughly. Move a test opportunity through your sales stages to verify the correct point values are assigned at each step.
