How to Use Time Interval Workflows for One-Time Bulk Updates (CRM)

You can temporarily use a time-based workflow to update existing records in bulk, then switch it back once the updates are done.

Before You Begin

  • Ensure you have administrative access to workflow settings

  • Identify the specific workflow you want to use for the bulk update

  • Plan to run the bulk update after business hours to prevent system slowdown

  • Note the workflow's current trigger setting so you can restore it later

Steps

  1. Navigate to Your Existing Workflow: Go to the workflow you want to use for bulk processing (e.g., "Update Intake Opp BD Rep based on Referral Source Assigned To Field").

  2. Access Workflow Settings: Click on the workflow to open its configuration page.

  3. Locate the Workflow Trigger Section: Find the "Workflow Trigger" section in the workflow settings.

  4. Change to Time Interval: Select "Time Interval" from the trigger options. This will process all records that match the workflow conditions simultaneously.

  5. Save the Configuration: Click Save to apply the Time Interval trigger setting.

  6. Monitor the Bulk Processing: The workflow will now run and update all matching records in your system at once.

  7. Restore Original Trigger: After the bulk update completes, return to the workflow settings and change the trigger back to its original setting (e.g., "Field Change", "Record Creation", etc.).

  8. Save Final Configuration: Click Save to restore the workflow to its normal operating mode.

Verification / Expected Result

After running the Time Interval workflow:

  • All records matching the workflow conditions will be updated with the specified field values

  • You can verify updates by checking individual records or running reports on the updated fields

  • The workflow will return to its normal trigger behavior for future records

Important Considerations

⚠️ Timing: Always run bulk updates after business hours to prevent system slowdown or temporary performance issues.

💡 Processing Method: Time Interval workflows process all matching records simultaneously, which is different from scheduled recurring workflows.

✅ Best Practice: This is a one-time bulk processing method - remember to change the trigger back to its original setting once complete.

Troubleshooting / Common Errors

  • System Slowdown: If you experience performance issues, ensure you're running the bulk update during off-hours when system usage is minimal.

  • Incomplete Processing: If not all records are updated, verify that they meet the workflow's condition criteria.

  • Workflow Not Triggering: Ensure you've saved the Time Interval setting and that the workflow is active.
