When the rule is turned on, the first client placed into an empty unit (or building) sets the gender for that space. From that point on, only clients of the same gender can be booked or reserved there — until the space is completely empty again.
The Bedboard also shows clear visual cues: a gender badge next to each occupied bed, and a coloured “Female Only” or “Male Only” banner on the beds inside a locked unit or building.
Tip: This rule applies only to bed assignments you make manually inside the CRM. Assignments that come in automatically from an EMR are not affected.
2. Who Does What
• Administrators — set up and turn on the Gender Rule, choose which units or buildings it applies to, and decide whether overrides are allowed.
• Intake / Admissions staff — see the gender badges and banners on the Bedboard, and book or reserve beds following the on-screen guidance.
3. Enabling and Configuring the Gender Rule (Admin)
Follow these steps to turn the rule on and choose where it applies:
1. Click the Settings (gear) icon, then go to Bedboards → Gender Rule.
2. Turn the “Enable gender rule” toggle ON.
3. Choose a Scope:
• Units — the rule applies within each unit you select.
• Buildings — the rule applies within each building you select.
4. Tick the specific units (or buildings) the rule should apply to.
5. (Optional) Tick "Allow Admin Override" if you want overrides to be possible at all. This is the master switch — when it is OFF, no one can override the rule (admins included); when it is ON, admin users can always override. 6. (Optional) In "Grant override access to", select any additional Users and/or Groups who should also be able to override (beyond admins). Members of a selected group are included automatically. This list only has effect while "Allow Admin Override" is ON — leave it empty to keep overrides admin-only.
7. Click Save.
Tip: Units or buildings you do not tick are not affected — they continue to work exactly as before. You can reopen this page anytime to change your selections.
“Allow Admin Override” is the master switch. Turning it OFF blocks overrides for everyone, including admin and anyone in the “Grant override access to” list.
4. Reading the Bedboard
Go to Admissions → Bedboards to open the graph view. With the Gender Rule enabled, you will see: Gender badges
• Every occupied bed shows a small Female, Male, or Other badge next to the client’s name, so you can see at a glance who is in each bed.
Gender lock banners
• When a unit or building already has an occupant, its empty beds display a coloured banner such as “Female Only — Unit” or “Male Only — Building”. This tells you which gender that space is currently reserved for. • A unit or building that is completely empty shows no banner — it is open to any gender.
5. Booking a Client into a Bed
How a booking behaves depends on whether the unit or building is already locked to a gender:

8. Open the Bedboard and click Book on an empty bed in an empty unit/building.
9. Select the client and save.
The booking succeeds, and that space now locks to the client’s gender. The remaining empty beds will show the matching “Only” banner.
Booking a same-gender client
10. Click Book on an empty bed in a space already locked to that gender.
11. Select a client of the same gender and save.
The booking succeeds and the space stays locked to that gender.
Booking a different-gender client (blocked)
12. Click Book on an empty bed in a space locked to the opposite gender.
13. Select the client and try to save.
A red message appears at the top of the screen and the booking dialog closes. The bed stays empty. Choose a different bed, or place a client of the matching gender.
Tip: The same rules apply to the Reserve button. A reservation cannot slip a different-gender client into a locked space either.
6. Overriding the Rule
If your administrator has turned on "Allow Admin Override", a gender-mismatched booking can be overridden by: • any admin user, and
• any user or group your administrator added under "Grant override access to" (group members are included automatically).
To override a blocked booking:
1. Attempt the booking that would normally be blocked.
2. When the confirmation prompt appears, click OK to proceed, or Cancel to stop.
Confirming completes the booking and records the override. Users who are neither an admin nor on the allowed list do not see this prompt — they remain blocked even when override is turned on. If "Allow Admin Override" is OFF, no one can override, including admins.
7. How the Lock Resets
A unit or building stays locked to its gender for as long as at least one client of that gender remains. The moment the last client is discharged or unassigned and the space is empty, the lock clears automatically. The next client placed there sets the new gender.
8. Things to Know
• A client whose Gender field is blank cannot be booked into a locked space. Set the client’s gender first, then retry. • Gender matching ignores capitalisation and extra spaces, so values like “Female”, “female”, or “ FEMALE ” are all treated the same.
• Turning the rule off in Settings returns the Bedboard to its original behaviour, with no banners or gender restrictions.
