Paid-in-Full Statement Emails Hide the Make Payment Button (CRM)

Statement emails now adapt to the account balance. When the balance is $0 or a credit, the Make Payment button is replaced with a paid-in-full notice. Accounts with an outstanding balance continue to see the Make Payment button as before.

1. Before You Start

You will need: nothing new. This works with the statement emails you already send today.

Access requirements: No new permissions, settings, or feature flags. The behavior is automatic and applies to every statement email that goes out.

There is nothing to turn on. If you send patient or donor statements, the new behavior is already active. If an email still shows a Make Payment button on an account you believe is paid off, see the Frequently Asked Questions below or contact Dazos support.


2. What Changed

Previously, every statement email ended with a green Make Payment button — even when the account balance was already $0. A paid-up patient who clicked it would land on a "No Dues" dead-end, which was confusing.

Now the email checks the account's balance at the moment it is sent:

Owes money (balance greater than $0)

The green Make Payment button, as before

Paid in full (balance of $0)

A paid-in-full notice instead of the button

In credit (negative balance)

A paid-in-full notice instead of the button

Tip: The check happens each time a statement is sent, based on the balance right then. If a balance is paid off and you resend the statement, the new email will show the paid-in-full notice.


3. When the Make Payment Button Appears

The Make Payment button appears only when the account has an outstanding balance greater than $0 at the time the statement is sent. This keeps the payment link in front of the people who actually need it, and removes it for everyone who is already settled.

No action is required from you to get this behavior — it is applied automatically to the statement email as it is generated.


4. What a Paid-in-Full Email Looks Like

When the account is paid in full or in credit, the spot where the Make Payment button used to be now reads:

Your account is paid in full — no balance due. Thank you!

The rest of the statement — account details, transaction summary or detail, and branding — is unchanged.


5. Which Statements Are Covered

The new behavior applies to all four statement email types, whether you send them by hand from the account screen or through an automated workflow:

Important: Both ways of sending a statement are covered — sending manually from the account's balance screen, and statements sent automatically by a workflow. You do not need to do anything different in either case.


6. Frequently Asked Questions

Q: Do I need to change any settings to use this? No. The behavior is automatic for all statement emails and applies to every instance and brand. There is nothing to enable.

Q: An account is paid off but the email still shows the Make Payment button. Why? The email reflects the balance at the exact moment it was sent. If a payment posted after the statement was sent, resend the statement and the new email will show the paid-in-full notice. If the balance was truly $0 at send time and the button still appeared, contact Dazos support and reference CRM-3328.

Q: What happens for an account that is in credit (a negative balance)? It is treated the same as a $0 balance — the email shows the paid-in-full notice instead of the Make Payment button.

Q: Will accounts that still owe money stop seeing the payment link? No. Accounts with an outstanding balance are unaffected and continue to show the Make Payment button exactly as before.

Q: Does this change the rest of the statement, such as the transaction details or totals? No. Only the Make Payment button area changes. All other content stays the same.

Q: Does this apply to both InsightsTx and AllevaCRM? Yes. Both brands use the same statement emails, so both behave identically.
