Holidays & Time Off for Appointment Scheduling (CRM)

You can now block specific dates or date-and-time ranges to prevent appointment bookings — ideal for holidays, staff vacations, or program downtime. No need to delete and re-add weekly availability around each blocked period.

1. Before You Start

You will need:

● An administrator account.

● The Appointments module enabled for your instance, with an Appointment Class selected (Individual, Facility, or Both) in Company Details.

● At least one staff member or treatment program already set up with weekly availability (so there are slots to block).

Access requirements: Only administrators can view and manage Holidays & Time Off.

If you don't see the Appointment Settings option or the Holidays & Time Off tab, the Appointments module may not be enabled for your instance — contact Dazos support to turn it on.


2. Open Appointment Settings

From the CRM, go to Settings → Configuration → Appointment Settings. You'll see

a row of tabs across the top:

Weekly hours and capacity for each treatment program.

Holidays & Time Off

Company-wide closures that block everyone.

Time off can be set in two places: the Holidays & Time Off tab (everyone) and inside each entity's section on the Staff and Facility tabs (just that person or program).


3. Add a Company-Wide Holiday

Use this for closures that should block every staff member and treatment program.

1. Open the Holidays & Time Off tab.

2. Fill in the entry:

3. Click Add. The entry appears in the list below.

4. Add Time Off for a Specific Staff Member

Use this when only one person is away (vacation, training) — everyone else stays bookable.

1. Open the Staff Availability tab.

2. Find the User, Role, or Group and click its row to expand it.

3. Below their weekly hours you'll see a Holiday / Time Off section.

4. Add an entry exactly as in Section 3 (All-day or a date/time range, with an optional label) and click Add.

Only that person's appointment slots are removed during the time off. Everyone else is unaffected.


5. Add Time Off for a Treatment Program

Works the same way for facility-based scheduling.

1. Open the Facility Availability tab.

2. Expand the Treatment Program.

3. Use its Holiday / Time Off section to add entries.

Only that program's slots are removed during the time off.


6. How Closures Affect Booking

When someone books an appointment:

Closure type

Effect on the booking calendar

All-day

The whole date offers no available times.

Time range

Only the times inside the range are removed; the rest of the day stays bookable.

Company-wide

Applies to every staff member and program.

Per staff / per program

Applies only to that person or program.

A time slot disappears if either a company-wide closure or a closure for that specific staff member/program covers it.


7. Frequently Asked Questions

Q: What's the difference between the Holidays & Time Off tab and the section inside Staff/Facility Availability? The tab creates company-wide closures that block everyone. The section inside a specific user or program blocks only that user or program.

Q: I added a holiday but existing appointments are still on the calendar. Is that a bug? No — that's intentional. Closures only stop new bookings. Existing appointments are never auto-cancelled; you decide whether to reschedule them.

Q: Can I block just part of a day? Yes. Leave All day unticked and set a From and To time. Only the slots inside that window are removed.

Q: How do I remove a closure? Open the same screen where you added it, find the row in the list, and click the trash icon. The dates become bookable again immediately.

Q: Do I need to do anything after a holiday to restore availability? No. Once the closure's date range has passed (or you delete it), normal weekly availability applies automatically.

Q: Does this work the same in different browsers? Yes. If a screen looks out of date after an update, do a hard refresh (Ctrl+Shift+R) once.


Need Help?

If something doesn't look right:

1. Re-open Appointment Settings and confirm the closure appears in the correct list (company-wide vs. per staff/program).

2. Check that the affected staff member or program has weekly availability set up — closures only remove slots that would otherwise exist.
