Need Help?
1. Before You Start
You will need:
Access to Settings → Automation → Workflows (workflow administrator permission).
A workflow to edit or permission to create a new one.
Access requirements: The within time window operator appears automatically in the workflow condition builder for admins who can edit workflows. No extra setup is required.
Optional — business hours: If your organization has configured business hours (Settings → Company Details), you can see how a time-based condition interacts with them (see Section 7). Business hours are not required to use time windows.
If you don't see System Time or the within time window operator as described below, contact Dazos support to confirm the feature is enabled for your instance.
2. Open the Workflow Condition Builder
Go to Settings → Automation → Workflows.
Create a new workflow or open an existing one.
Choose the Target Module and a Trigger (for example, Intake Opportunity updated).
Scroll to Workflow Condition and click Add Condition.
3. Choose the Field and the "Within Time Window" Operator
In the new condition row, pick a field (left dropdown), then choose within time window as the operator (middle dropdown).
within time window is available on any date or date-time field, not only System Time:
Field | What time it checks |
System Time | The current time when the workflow runs (not tied to any record). Appears at the top of the field list. |
Created Time / Modified Time | The record's creation or last-updated time. |
Other date/time fields | Any date or date-time field on the module — e.g. Admitted timestamp, VOB Timestamp, Lost Time Stamp, or your own custom timestamps. |
Tip: When you pick System Time, the only available operator is within time window — it is selected for you automatically. Fields that store only a time-of-day (no date) do not offer this operator.
4. How Time Zones Are Handled
The time zone matters, and it depends on which field you choose:
Important — time zones:
System Time is evaluated in your organization's business-hours time zone (from Settings → Company Details). So a window lines up with your local business hours.
Every other date/time field (Created Time, Modified Time, and any custom timestamp) is compared exactly as stored — no time-zone conversion is applied.
In practice, a System Time window is interpreted in your business time zone, whereas a window on Created Time (or any record field) is matched against the stored timestamp at face value. Keep this in mind if your records' stored times differ from your business time zone.
5. Set the Day-and-Time Window
Choosing within time window replaces the value box with a day-and-time picker:
Control | Purpose |
Weekday checkboxes | The days the window applies to. Leave all unchecked to mean every day. |
From (HH: MM) | The start time of the window. |
To (HH: MM) | The end time of the window. |
How matching works:
No weekday checked → the window applies every day.
One or more checked → the window applies only on those days.
A same-day window (e.g., 09:00 – 17:00) matches from the From time up to, but not including, the To time.
After setting the window, add any other conditions (with AND / OR) and click Save. (The weekday checkboxes and From/To inputs are shown in the screenshot above.)
6. Windows That Cross Midnight
If the From time is later than the To time — for example, 10:00 PM to 8:00 AM — the window crosses midnight and ends the next day.
A short note appears under the times explaining this, so you always know how the window will be interpreted.
Important: A window that crosses midnight belongs to the day it starts on. For example, a Monday 10:00 PM–8:00 AM window covers Monday 10:00 PM through Tuesday 8:00 AM. So Tuesday at 7:00 AM still matches the Monday window, while Monday at 2:00 AM does not (that early-morning time belongs to Sunday's window).
7. Working With Business Hours
Time-based conditions and your organization's business hours are independent. You can use a time window with or without business hours.
If your organization has business hours enabled and you turn on Use business hours for the workflow:
A note appears under the time-based condition reminding you that the workflow may be deferred until the next business window.
A View business hours schedule link (in that note and in the business-hours help text) opens a pop-up showing your organization's current schedule and time zone — without leaving the editor.
(Remember from Section 4: System Time is evaluated in the business-hours time zone shown in that pop-up; other date/time fields are compared as stored.)
8. Frequently Asked Questions
Q: Which fields can I use with "within time window"? Any date or date-time field: System Time, Created Time, Modified Time, and custom timestamps (e.g., Admitted timestamp, VOB Timestamp). Fields that store only a time of day (no date) are not supported.
Q: What does "System Time" mean, exactly? It is the current clock time at the moment the workflow is evaluated — not the date a record was created or modified. Use it for rules like "only outside 9 AM–5 PM".
Q: Which time zone is used? It depends on the field: System Time uses your organization's business-hours time zone; every other date/time field (Created Time, Modified Time, custom timestamps) is compared as stored, with no time-zone conversion. See Section 4.
Q: I want the window every day. What do I check? Leave all weekday checkboxes unchecked. An empty set of days means every day.
Q: How do I make an overnight window like 10 PM to 8 AM? Set From to 10:00 PM and To to 08:00 AM. Because From is later than To, the window crosses midnight and ends the next morning. The editor shows a note confirming this.
Q: Does a time window stop my workflow from running, or just delay it? The time window is a condition — the workflow only acts when the chosen time is inside the window. Separately, if Use business hours is on, an otherwise-matching workflow may be deferred to the next business window. The two work together.
Q: Will this change my existing workflows? No. This is an addition. Existing workflows continue to work exactly as before until you add a within-time-window condition.
Need Help?
If a time-based condition isn't behaving as expected:
Re-open the workflow and confirm the field, operator, days, and From/To times are set as you intended (watch for windows that cross midnight).
Check the time zone rule for the field you chose (Section 4) — this is the most common surprise.
If you use business hours, click View business hours schedule to confirm your schedule and time zone.
Contact Dazos support with the workflow name and a description of what you expected, and reference CRM-2826.
