When a workflow automatically posts a comment on a record, you could already tag a specific, fixed user or group. Now you can also tag people dynamically — based on who currently owns the record (or its parent record). For example: "whenever a Lead is created, post a comment and tag whoever is the Assigned To." If the owner changes later, the next comment automatically tags the new owner.

1. Before You Start
You will need: access to Settings → Automations → Workflows (workflow administrator), and a record type whose owner fields (such as Assigned To or Sales Rep) are actually filled in.
Access requirements: this is configured by workflow administrators. The "Log Comment" action is available on record types that support comments (Leads, Contacts, Intake Opportunities, and others).
If you don't see the Log Comment action or the new field, refresh the Workflows page once so the editor reloads.
2. Where to Find It
From the CRM, navigate to Settings → CRM Settings → Automations → Workflows, open or create a workflow, then Add Action → Log Comment.
Inside the Log Comment action you'll see a new field:
Field | Purpose |
Tag Owner Field(s) | Dynamically @tag the user(s) held in the chosen owner fields on the record or its parent |
It sits below "Comment Creator" and is a multi-select — you can pick one or several owner-type fields. Each choice appears as a removable chip.
3. Set Up Dynamic Tagging
1. Go to Settings → CRM Settings → Automations → Workflows.
2. Open an existing workflow, or create one and choose the target module (e.g. Leads, Contacts, Intake Opportunities).
3. Set the trigger conditions as usual.
4. Click Add Action and choose Log Comment.
5. Type your comment message. You can still type @ to tag a specific fixed user or group, and use Add Field to insert record values.
6. In Tag Owner Field(s), click the box and pick one or more owner fields:
Choice type | Examples |
Owner fields on the record | Assigned To , Sales Rep , Closing Agent |
Owner fields on a parent record | Account Name : Assigned To |
7. Click Save, then re-open the action to confirm your choices were kept.
8. Activate the workflow.
Tip: You can combine methods in one comment — a fixed @ mention you typed plus one or more dynamic owner-field tags.
4. What to Expect
When the workflow runs, whoever currently holds each selected owner field is tagged in the comment as a highlighted (blue) name and notified — the same result as any other comment tag:
Behavior | Detail |
Highlighted tags | Selected owners appear as blue name tags in the posted comment |
Notifications | Each tagged owner is notified, just like a normal @mention |
Truly dynamic | Change a record's owner and the next comment tags the new owner — no workflow edit needed |
Empty field | If a selected owner field is blank on a record, it is skipped (no error, no empty tag) |
No duplicates | If the same person is tagged by more than one field, they are tagged/notified once |
Important: "Tag Owner Field(s)" is optional. Leaving it empty keeps the action working exactly as before. If an owner field holds a group, the group's first member is tagged (the same behavior as choosing a group for the comment's author).
5. Frequently Asked Questions
Q: How is this different from typing @ to tag someone? Typing @ tags a fixed, specific person every time. "Tag Owner Field(s)" tags whoever currently holds that field on the record — so it stays correct as ownership changes.
Q: Can I tag both a person on the record and a person on its parent? Yes — pick both a direct owner field (e.g. Assigned To) and a parent owner field (e.g. Account Name : Assigned To).
Q: What if the owner field is empty when the workflow runs? That field is simply skipped for that record; no error and no empty tag.
Q: Do I need a migration or support ticket to enable this? No configuration beyond selecting the fields in the action. If the action isn't visible, refresh the page.
