How to set up Field Mapping from Leads to other compatible modules (CRM)

This guide explains how to ensure data flows seamlessly from a Lead to the Account and Intake Opportunity modules during the conversion process. By setting up Field Mapping, you prevent manual data re-entry and maintain data integrity across the patient.

Before You Begin

  • CRITICAL: You must create the custom fields in both the Accounts and Intake Opportunities modules before attempting to map them. If the destination fields do not exist, they will not appear in the mapping dropdown menus.

  • Matching Data Types: Ensure the fields you are mapping share the same "Data Type" (e.g., a "Date" field in Leads must be mapped to a "Date" field in Accounts)

  • Permissions: You must have Administrative access to the CRM Settings.

Instructions

  1. Navigate to Mapping Settings: Log in to the CRM and go to Settings > CRM Settings > Marketing & Sales > Lead Conversion Data Mapping.

  2. Enter Edit Mode: Click the Edit button in the top right corner of the mapping screen to unlock the fields.

  3. Create a New Mapping Row: Scroll to the bottom of the existing list and click the + Add Mapping button.

  4. Select the Source Field: In the first column (Leads), click the dropdown and select the field you want to transfer data from.

  5. Assign Destination Fields: * In the second column (Accounts), select the corresponding field that should receive the Lead data.

    • In the third column (Intake Opportunities), select the matching field for the opportunity record.

  6. Save Changes: Click Save at the top of the page to finalize the mapping configuration.


Verification / Expected Result

To verify the setup, navigate to an existing Lead that has data in the newly mapped field. Perform a Lead Conversion. Once converted, open the newly created Account and Intake Opportunity; the data from the Lead should now be visible in the corresponding destination fields.


Troubleshooting / Common Errors

  • Field Not Visible in Dropdown: Ensure you have actually created the field in the destination module (Account or Opportunity). If you just created it, try refreshing your browser page.

  • Mismatched Data Types: If you try to map a "Checkbox" field to a "Text" field, the sync may fail or the field may not appear as an option. Always match Picklist to Picklist, Date to Date, etc.

  • Required Fields: If a field is "Required" in the Account module but not in the Lead module, the conversion will fail if the Lead field is empty. Ensure your mandatory fields are consistent across modules.
