Troubleshooting: Insurance Provider Not Appearing in Intake Opportunity Dropdown (CRM)

This guide helps you resolve an issue where an insurance provider exists in your Insurance Provider settings but does not appear in the dropdown when creating or editing an Intake Opportunity. This is typically caused by the Intake Opportunity module (or

Symptom

An insurance provider (for example, Cherokee) is visible in your Insurance Provider settings, but it does not appear in the insurance provider dropdown on Intake Opportunity records. Users are unable to select the provider during intake.

Cause

The Intake Opportunity module uses the Account's insurance provider field as a reference. If the Account module's insurance provider picklist has been set to a customized (non-global) picklist, it will only display the values in that custom list — not all providers from the global picklist. This means any provider added to the global list will not automatically appear in the dropdown.

Both the Accounts module and the Intake Opportunity module need to be configured to use the global picklist for insurance providers to appear consistently across the CRM.

Solution

Follow the steps below to switch the insurance provider field to use the global picklist. If your picklist is linked to an EMR, you will not be able to make this change yourself — see the note below.

  1. Navigate to Settings → CRM Settings → Module Management → Module Layouts & Fields.

  2. Select the Accounts module.

  3. Locate the Insurance Provider field.

  4. Edit the field and change the picklist setting from the customized picklist to the global picklist.

  5. Save your changes.

  6. Repeat the same steps for the Intake Opportunity module — locate the Insurance Provider field and switch it to use the global picklist.

  7. Save your changes.

  8. Navigate to an Intake Opportunity record and verify that the missing insurance provider now appears in the dropdown.

⚠️ EMR-Linked Fields — Contact Support

If you attempt to edit the insurance provider field and see a message indicating it cannot be updated because it is linked to an EMR, you will not be able to make the change yourself. In this case, contact Dazos Support and request that the insurance provider picklist be switched to the global picklist for both the Accounts and Intake Opportunity modules.

When contacting support, provide:

  • The name of the module(s) affected (Accounts and/or Intake Opportunity)

  • The specific field name (Insurance Provider)

  • The insurance provider(s) that are missing from the dropdown

Verification

After the change is made (either by you or by support):

  • The insurance provider dropdown on Intake Opportunity records will display all values from the global picklist.

  • Previously missing providers will now be selectable.

  • The picklist values will remain consistent across the CRM.

💡 Additional Notes

  • No change history available: There is currently no change history log for module field configurations in the CRM. It is not possible to determine when or by whom a picklist was changed from global to customized. This has been noted as a potential feature request for a future release.

  • Temporary workaround: While waiting for support to make the change, you may be able to temporarily add the missing provider directly to the customized picklist. However, switching to the global picklist is the recommended long-term solution to keep all insurance provider values in sync.

When to Contact Support

Contact Dazos Support if:

  • The insurance provider field shows a restriction message due to an EMR link.

  • The provider still does not appear after switching to the global picklist.

  • You are unsure which module or field is causing the issue.

  • The issue affects multiple insurance providers or multiple modules.
