Is there a way to not have to manually create a new intake opportunity when we have patients in the EMR that do not exist in the CRM?

Overview


This setting controls the bi-directional synchronization feature that allows your EMR (e.g., KIPU, Alleva) to automatically create a new Intake Opportunity/Patient record in Dazos CRM. This is essential for preventing data loss when patients are managed or transferred in the EMR first.


Why Use This Feature?

When this feature is enabled (YES), Dazos prevents data gaps by:

Capturing Internal Transfers: If a patient is transferred to a new Level of Care (LOC) in the EMR and the system attempts to create a new opportunity record that doesn't exist in Dazos, the EMR will automatically push and create that new Intake Opportunity.

Preventing Manual Entry: It eliminates the need for staff to manually re-enter patient data into the CRM when the record originates in the EMR.

Maintaining Accurate Census: It ensures the Dazos CRM Census/Reports accurately reflect all active patient records being tracked in your EMR.


Steps

1. Access Your CRM Instance

Navigate to the specific CRM login page and enter your credentials.


2. Navigate to Settings

After logging in, locate and click on the "Settings" option in the main navigation panel on the left side of the CRM.


3. Access CRM Settings

In the Settings menu, click on "CRM Settings." This section gives you complete control over your CRM's management.


4. Access the "Integration" dropdown menu

Locate the "Integration" dropdown menu and click to expand it.


5. Access "EMR Settings"

Under the "Integration" menu, click on "EMR Settings."


6. Locate "EMR Global Settings"

In the EMR Settings menu, find the "EMR Global Settings" section


7. In the Global EMR Mapping Settings, locate

Select "EHR bedboard" from the picklist and click the "Submit" button to save your changes

8. Access "admissions"

Go to the main navigation menu and click on the "Admissions" module.


9. Access "Bedboards"

Within the Admissions menu, select "Bedboards."


10. Access "List View"

In the top right of the bedboard page, click to switch to the "List View."


11. Access the picklist values

Once in the List View, find the picklist menu in the top-right corner of the page.


12. Select "Beds from Kipu" Then press "Import"

From the picklist, select "Beds from Kipu" and click "Import" to begin the sync.


13. The beds are now automatically loaded

The beds will automatically be imported from Kipu. If needed, you can switch back to the graphic mode by pressing "Graph View."


14. The beds are now automatically loaded in graphic mode

The bedboard will now be loaded in the graphic mode, showing the synced data.


Verification / Expected Result

The bed counts, patient names, and bed assignments in your Dazos bedboard should now be an exact match to the data in your Kipu EMR.


Troubleshooting / Common Errors

  • "Import" Button is Missing: If you do not see the "Beds from Kipu" option, your instance may not be properly connected to the EMR.

  • Data Is Still Incorrect: If the bedboard data remains incorrect after a re-import, the discrepancy may exist within the Kipu EMR itself.
