Purpose of this Guide

This guide helps resolve issues when intake opportunities pushed from Dazos CRM do not appear in KIPU EMR as expected. This affects the patient transfer workflow and can delay admissions processing.

Symptom/Error

When transferring intake opportunities from Dazos to KIPU, patients do not appear in the KIPU system despite successful push confirmation from Dazos. Staff cannot locate the patient records in KIPU to proceed with admission workflows.

Cause

This issue typically occurs when users look for patients in the wrong section of KIPU or when connectivity issues between Dazos and KIPU prevent successful data transfer.

Solution

Follow these troubleshooting steps in order:

Step 1: Verify Push Success in Dazos

  1. Navigate to the intake opportunity record in Dazos CRM.

  2. Check the patient push status to confirm it shows as successfully sent.

  3. Note any error messages or failed push indicators

Step 2: Check KIPU's Incoming/Pending Section

  1. Log into your KIPU EMR system.

  2. Navigate to the incoming/pending patient queue rather than the admitted patients.

  3. Look for the patient's name in the pending admissions section.

    ⚠️ Important: Do not look in the admitted patients section initially

Step 3: Test Integration with Known Patient

  1. Create a test patient record in Dazos CRM.

  2. Push the test patient to KIPU.

  3. Verify the test patient appears in KIPU's incoming/pending section.

  4. If the test patient appears successfully, the integration is working correctly.

Verification

After completing these steps, you should be able to locate transferred patients in KIPU's incoming/pending queue. The patient records should contain the basic information transferred from the Dazos intake opportunity.

Escalation

Contact Dazos Support if:

  • The patient push shows as successful in Dazos, but the patient still doesn't appear in KIPU's incoming/pending section.

  • Test patients fail to transfer successfully to KIPU.

  • You receive specific error messages during the push process.

  • The integration was previously working but has stopped functioning

When contacting support, provide:

  • The specific patient name that failed to transfer

  • Screenshots of the push status in Dazos

  • Confirmation of which sections in KIPU you checked

  • Results of any test patient transfers
