How to Admit a Patient Chart in KIPU After Pushing from Dazos (CRM)

Overview

When a patient is pushed from Dazos CRM to KIPU EMR, the chart is not automatically admitted. Instead, it appears in KIPU's Incoming section and must be manually admitted by a KIPU user before the record will show as a linked EMR record in Dazos. This is expected behavior — the linked EMR record in Dazos will only appear after the chart has been admitted in KIPU.

Before You Begin

You'll need:

  • Successfully pushed the patient record from Dazos CRM to KIPU EMR (the patient's Intake Opportunity in Dazos must have been pushed using the Admit Alert workflow).

  • A KIPU user account with the appropriate permissions to admit patients in KIPU.

Steps

  1. Log in to KIPU and navigate to the Incoming section. This is where pushed patient charts appear and await admission.

  2. Locate the patient chart you pushed from Dazos. Confirm the patient's name and details match the record you pushed.

  3. Admit the patient using the preview/admit button associated with the patient's chart in the Incoming section.

  4. If the patient is a readmission and a main facesheet already exists in KIPU for this patient, select the readmit option rather than creating a new chart. This ensures the intake links correctly to the existing patient profile.

Verification / Expected Result

After the patient chart is admitted in KIPU, the intake will be linked as expected in Dazos CRM. The patient's Intake Opportunity in Dazos will display a linked EMR record. If the record does not appear linked immediately, allow a moment for the sync to process and then refresh the page in Dazos.

Important Notes

Why isn't there a linked EMR record in Dazos right after the push? The linked EMR record only appears in Dazos once the chart has been admitted inside KIPU. The push from Dazos creates the chart in KIPU's Incoming queue — admission is a separate manual step that must be completed by a KIPU user.

Readmissions: If the patient has been treated before and already has a facesheet in KIPU, always use the readmit option when admitting from the Incoming section. This prevents duplicate profiles and ensures the record links correctly back to Dazos.
