How to Map SSN, Race, Ethnicity, and Email Fields to KIPU Facesheet (CRM)

This guide explains how to map Social Security Number (SSN), Race, Ethnicity, and Email fields from Dazos CRM to KIPU's facesheet using the KIPU field mapping configuration. It also covers the required step in KIPU after a patient file is pushed.

Before You Begin

  • You must have administrator access to CRM Settings.

  • Your KIPU EMR integration must be configured and active.

  • Confirm that the SSN, Race, Ethnicity, and Email fields exist and are populated on the relevant CRM records before testing.

Steps

Step 1: Navigate to KIPU Field Mapping

  1. Log in to Dazos CRM and go to the Dashboard.

  2. Click Settings.

  3. Select CRM Settings.

  4. Click Integrations.

  5. Select EMR Settings.

  6. Click on the KIPU tab.

  7. Click KIPU Field Mapping to open the field mapping configuration.

Step 2: Map the Fields

In the KIPU Field Mapping section, locate or add mappings for each of the following fields. For each field, select the corresponding Dazos CRM field on the left and map it to the appropriate KIPU facesheet field on the right:

  • Social Security Number (SSN) — maps to the ssn field in KIPU

  • Race — maps to the race field in KIPU

  • Ethnicity — maps to the ethnicity field in KIPU

  • Email — maps to the email field in KIPU

Step 3: Save the Configuration

  1. After all four fields are mapped, click Save to apply the changes.

Step 4: Push a Patient File to KIPU

  1. Navigate to the patient record in Dazos CRM.

  2. Initiate the push to KIPU as you normally would.

  3. Confirm the push completes successfully.

Step 5: Accept the Client in KIPU

  1. Log in to your KIPU instance.

  2. Navigate to the Incoming section in KIPU.

  3. Locate the patient record that was just pushed from Dazos.

  4. Accept the client to complete the process on the KIPU side.

⚠️ Important: Pushing a patient from Dazos CRM to KIPU does not automatically complete the admission in KIPU. A staff member must accept the client under the Incoming section in KIPU to finalize the process.

Verification / Expected Result

After completing the mapping and pushing a test record, confirm the following fields are populated correctly in the KIPU facesheet:

  • SSN — appears in the patient's Social Security Number field

  • Race — populated with the value from the CRM record (e.g., Asian)

  • Ethnicity — populated with the value from the CRM record (e.g., Haitian)

  • Email — populated with the patient's email address

Best Practice: Always test field mapping with a sample record before processing live patient data to confirm all fields are pushing as expected.

Troubleshooting / Common Errors

Fields not appearing in KIPU after push

  • Verify the fields are populated on the CRM record before pushing.

  • Confirm the field mapping was saved correctly in the KIPU Field Mapping configuration.

  • Check that the KIPU integration is active and the connection is functioning.

Patient not visible in KIPU after push

  • Check the Incoming section in KIPU — the client must be manually accepted there before they appear as a full patient record.

Race or Ethnicity values not transferring correctly

  • Ensure the picklist values used in Dazos CRM match the accepted values in KIPU. Mismatched values may result in blank or incorrect data.
