How to Prevent KIPU EMR from Auto-Creating Duplicate Intake Opportunities (CRM)

This guide explains how to adjust a specific setting to prevent the KIPU EMR integration from automatically creating duplicate intake opportunities upon client admission.

Before You Begin

You'll need administrator access to your Dazos EMR integration settings. This solution specifically addresses the issue where the automatic patient creation feature creates duplicate opportunities for patients who already exist in your CRM.

Understanding the Issue

When the "Allow the EMR to Automatically Create Patients in the CRM" setting is enabled, KIPU integration creates new intake opportunities when it cannot match existing records in your CRM. This results in:

  • Duplicate opportunities are being created by "EHR integration."

  • Original opportunities not updating to "Admitted" status as expected

  • Confusion about which record represents the actual patient admission

Steps to Prevent Duplicate Creation

Step 1: Disable Automatic Patient Creation

Navigate to your KIPU integration settings in Dazos and locate the "Allow the EMR to Automatically Create Patients in the CRM" setting. Disable this setting to prevent the automatic creation of duplicate patient records.

⚠️ Important: This change takes effect immediately and stops all automatic patient creation in KIPU.

Step 2: Understand the Impact

Once this setting is disabled:

  • KIPU will no longer automatically create new intake opportunities when it cannot find matching records

  • If a client is admitted directly in KIPU without first going through Dazos, no corresponding record will be automatically created in Dazos

  • Your existing workflow of creating opportunities in Dazos first, then pushing to KIPU, will continue to work normally

Expected Result

After disabling this setting, you should see:

  • No new automatic duplicate opportunities created by "EHR integration."

  • Existing opportunities are properly updated to "Admitted" status when patients are admitted through KIPU

  • Cleaner data with fewer duplicate records to manage

✅ What still works: Your normal workflow of creating intake opportunities in Dazos and then pushing them to KIPU continues to function normally. Updates and syncing between linked records will continue as expected.

Considerations for Direct KIPU Admissions

With automatic creation disabled, be aware that:

  • Alumni readmissions: If an alumnus is readmitted directly in KIPU without being processed in Dazos first, no corresponding record will be created in Dazos

  • Emergency admissions: Direct admissions in KIPU will not automatically appear in your Dazos CRM

  • Manual process: For these cases, you may need to manually create intake opportunities in Dazos if tracking in the CRM is required

Troubleshooting

Issue: Still seeing duplicate opportunities after disabling the setting

Solution: Check that the setting was properly saved and verify that no other integration workflows are creating duplicate records. Contact Dazos Support if duplicates continue to appear.

Issue: Missing patient records for direct KIPU admissions

Solution: This is expected behavior when automatic creation is disabled. Create intake opportunities manually in Dazos for direct admissions that need to be tracked in the CRM.
