How Kipu Integration Handles Duplicate Intake Opportunity Matching (CRM)

Overview: This guide explains how the KIPU integration matches intake opportunities during readmissions and how to prevent historical data from being overwritten.

Before You Begin

  • Familiarize yourself with your current intake opportunity naming conventions

  • Confirm you have access to manage intake opportunities in Dazos CRM

⚠️ Important: KIPU does not assign a unique trace to a patient until they are officially accepted as a client. The system matches records based on identical patient details during intake.

How the Matching System Works

When pushing intake opportunities to KIPU, the system matches records based on identical patient details. If multiple opportunities exist with the same name, the system now automatically links to the most recent matching opportunity rather than the first one found.

Steps

Option 1 — Use Unique Naming Conventions (Recommended)

  1. When creating a new intake opportunity for a readmission, modify the patient name.

  2. Add a suffix to distinguish it from previous admissions (e.g., Patient Name-2, Patient Name-3).

  3. Confirm the readmission has a unique identifier before pushing to KIPU.

Option 2 — Rely on Automatic System Matching

The system automatically links to the most recent matching opportunity, so identical names will update the newest record rather than the oldest one.

⚠️ Critical: Records for different admissions must never be merged — they represent distinct clinical admissions with different dates and must remain separate.

💡 Tip: Even with automatic matching, unique naming conventions add an extra layer of data protection and make record identification easier.

Verification / Expected Result

After creating a readmission intake opportunity:

  1. Verify the naming convention is unique if using manual naming

  2. Push the opportunity to KIPU

  3. Confirm historical admission records remain unchanged

  4. Check that only the most recent opportunity receives updates from KIPU

Troubleshooting / Common Errors

Historical records being overwritten:

  • Ensure each readmission opportunity uses a unique naming convention

  • Confirm records have not been merged in the system

Matching the wrong opportunity:

  • Verify the most recent opportunity is correctly identified before pushing to KIPU
