Troubleshooting Client Location Updates in KIPU EMR Integration (CRM)

This guide helps resolve issues where client locations or treatment programs are not updating correctly in KIPU EMR when patients are linked from Dazos CRM. This ensures accurate patient placement and program assignment in your EMR system.

Symptom/Error

You may notice the following symptoms:

  • Client location is not reflecting the correct treatment program in KIPU

  • Patient records show outdated or incorrect program assignments

  • Treatment program information fails to sync between Dazos and KIPU

  • Location updates are not appearing in the KIPU patient chart despite being correct in Dazos

Cause

This issue typically occurs when the Intake Opportunity in Dazos is linked to an incorrect opportunity record or when the treatment program mapping between systems is not properly configured.

Solution

Follow these steps to diagnose and resolve location update issues:

Step 1: Verify Opportunity Linkage

  1. Navigate to the affected patient record in Dazos CRM

  2. Check the Intake Opportunity section

  3. Verify that the opportunity is linked to the correct opportunity record (not a different or duplicate one)

  4. If the opportunity is linked incorrectly, update it to point to the correct record

Step 2: Check Treatment Program Mapping

  1. Go to Settings > CRM Settings > EMR Settings > KIPU in your Dazos instance

  2. Review the treatment program mapping configuration


  3. Ensure that your Dazos treatment programs are properly mapped to the corresponding KIPU programs

  4. Verify that the program names match exactly between the two systems

Step 3: Correct Opportunity-Program Assignment

  1. If the opportunity is linked to an incorrect treatment program, update this on the Dazos side first

  2. Navigate to the opportunity record and select the correct treatment program

  3. Save the changes in Dazos before attempting to push the update to KIPU

Step 4: Push Updated Information to KIPU

  1. Once the correct linkages are established in Dazos, initiate a sync or push the patient data to KIPU

  2. Monitor the KIPU patient chart to confirm the location and treatment program now reflect correctly

Verification

After completing these steps, verify that:

  • The patient's location in KIPU matches the intended treatment program

  • The Intake Opportunity in Dazos is linked to the correct opportunity record

  • Treatment program mapping is functioning properly for future patient transfers

Contact Dazos support if:

  • The issue persists after verifying opportunity linkages and treatment program mapping

  • You're unable to locate the correct opportunity record to link

  • Treatment program mapping appears correct, but the locations still aren't updating
