Symptom / Error
A patient is admitted in KIPU, but their sales stage in Dazos CRM does not update automatically.
The auto-update works for one treatment program location but not another.
After renaming a KIPU location, the sales stage stops auto-updating for that location.
The patient remains in a "Pending Admit" status in Dazos even after being admitted in KIPU.
Cause
Dazos matches KIPU locations by name. When a new treatment program location is added in KIPU, or an existing location is renamed, the system no longer recognises the location and KIPU admission webhooks cannot trigger a sales stage update in Dazos.
The location must be mapped in two places within Dazos:
The CRM integration settings (EMR Settings)
The CRM picklist values for the location field
If either mapping is missing or out of date, the integration will silently fail for that location.
Solution
Step 1: Identify the Affected Location
Confirm the exact name of the location as it appears in KIPU. If the location was recently renamed (for example, from Vita Health Group to Reco Immersive), note both the old and new names, as the mapping will need to reflect the current name.
Step 2: Update the Location Mapping in CRM Integration Settings
Navigate to Settings → CRM Settings → Integration → EMR Settings in your Dazos CRM.
Locate the KIPU integration configuration.
Find the location mapping section and update or add the new/renamed location so it matches the name exactly as it appears in KIPU.
Save your changes.
Step 3: Update the Location in CRM Picklist Values
Navigate to your CRM picklist settings.
Locate the picklist for the location or treatment program field.
Add or update the value to match the new or renamed KIPU location name exactly.
Save your changes.
⚠️ Important: Both the integration settings and the picklist values must be updated. Updating only one of the two will not resolve the issue.
Step 4: Re-verify the KIPU Webhooks
After remapping the location, the KIPU webhooks must be re-verified to ensure the integration is fully reconnected.
Contact Dazos Support if you need assistance re-verifying or redoing the webhook configuration for the affected location.
Step 5: Test with a Patient Admission
Admit a test patient in KIPU under the newly mapped location.
Allow a couple of hours for the automated backend jobs to run.
Verify that the sales stage updates correctly in Dazos CRM.
💡 Tip: The sales stage update is processed by automated backend jobs triggered by KIPU webhooks. It does not update instantly — please allow up to a couple of hours after admission before checking the result in Dazos.
Important Notes
⚠️ Renaming a location in KIPU breaks the existing mapping. Dazos matches locations by name. If a location is renamed in KIPU (e.g., from Vita Health Group to Reco Immersive), the mapping in Dazos must be updated immediately to reflect the new name.
⚠️ This must be done for every new location added to KIPU. Locations are not automatically mapped when created in KIPU — manual mapping in Dazos is always required.
✅ Best Practice: Whenever a new treatment program location is added or any location is renamed in KIPU, contact Dazos Support to update the mapping and re-verify the webhooks before processing live patient admissions.
Escalation: When to Contact Support
Contact Dazos Support if:
You are unable to locate or access the EMR Settings or picklist configuration in Dazos.
The sales stage is still not updating after remapping and waiting a couple of hours.
You need assistance re-verifying or reconfiguring KIPU webhooks.
You are unsure which locations need to be mapped or what the correct location names are.
