Why This Happens
When a patient record remains 'Active' in KIPU without a specific admission date, KIPU sends a default placeholder date of 12/31/1969. Since Dazos detects an active record in the EMR, it automatically updates the status to 'In Treatment' and overrides any manual changes made in the CRM.
⚠️ Note: 12/31/1969 is a standard Unix placeholder for 'null' or 'empty' dates sent by the EMR system.
Best Practices for No-Show Patients
Update Patient Status in KIPU
Instead of only removing the admission date, update the patient's status in KIPU to reflect they are not currently in treatment:
Move to 'Discharged'
Change to 'Pre-Admission'
Set as 'Pending'
Keep the MR# Intact
Do not delete the MR#. The system uses this number to keep records linked between KIPU and Dazos. Removing it can break the integration connection.
Long-Term Solution: Custom Discharge Types
For a cleaner workflow, add specific discharge types in KIPU such as:
'No Show'
'Non-Admit'
'Cancelled Admission'
When you add a Discharge Date and select these custom discharge types in KIPU:
Dazos recognizes the patient is no longer active
These discharge types can be mapped to keep leads in your 'Needs Follow Up' pipeline
Records maintain the link between systems while staying properly categorized
When Records Don't Revert
Records showing 'No Linked EMR Record' in Dazos won't experience the reverting behavior — there is no active link established between the systems, so the EMR isn't sending data to override CRM changes.
Tips & Notes
⚠️ Important: Once the patient status in KIPU is changed from 'Active,' Dazos will stop pulling the default 1969 date and the CRM stage will stop reverting.
💡 Tip: The sync behavior only affects records with active links between KIPU and Dazos.
