When This Issue Occurs

Patients are pushed to KIPU without an admission date

New opportunities automatically link to old, abandoned records instead of creating fresh charts
How Missing Admission Dates Cause Linking Problems
Incorrect Discharge Status
When a patient is pushed to KIPU without an admission date, Dazos may mistakenly interpret this as a discharge. This causes the record to become locked, preventing automatic status updates from flowing between the systems.
Linking to Wrong Opportunities
For patients with multiple intake opportunities, KIPU uses three key reference fields for patient matching:
Name
Date of Birth (DOB)
Admission Date
Without an admission date, the system may incorrectly link new opportunities to existing patient records that already have one, even when those records should remain separate.

Include Admission Dates When Pushing
The most effective prevention method is to include admission dates when pushing patients to KIPU EMR. This ensures proper patient identification and prevents confusion about discharge status.
Manual Linking for Multiple Opportunities
When working with patients who have multiple intake opportunities:
Manually link existing intake opportunities first
Then push new opportunities to KIPU
This ensures Dazos links only non-linked charts, even without admission dates
Use MR Numbers for Better Matching
Adding the MR (Medical Record) number can help the system correctly link charts even when admission dates are missing. This provides an additional unique identifier for patient matching.

💡 Tip: If your facility intentionally pushes patients without admission dates, ensure the "Sync without Admissions Date" setting is enabled in your EMR configuration.
