This guide explains how to prevent EMR integration from updating abandoned or duplicate opportunities when you have multiple intake records for the same patient. By properly closing charts in your EMR, you can ensure only active opportunities receive status updates.
Before You Begin
Ensure you have access to your EMR system (such as Kipu) and the necessary permissions to update patient discharge information.
Understanding the Issue
When multiple opportunities exist for the same patient in Dazos, EMR integrations may apply status updates to any associated record. This happens because:
The integration recognizes admission status changes for a patient
If multiple opportunities are linked to the same patient, the system may update any or all of them
Charts without proper discharge information continue to receive "In Treatment" updates indefinitely
Steps to Prevent Duplicate Updates
Identify the chart to close
Determine which opportunity/chart should be marked as abandoned or closed in your workflow.Access the patient record in your EMR
Navigate to the specific chart that corresponds to the abandoned opportunity.Enter a discharge date
Add the appropriate discharge date (this can be the same day the chart was created if needed).Select a discharge type
Choose the appropriate discharge type, such as "non-admit" or another relevant option that indicates the patient was not admitted through this particular chart.Save the changes
Ensure the discharge information is properly saved in the EMR system.
Expected Result
Once the discharge date and type are entered in the EMR:
Dazos will automatically detect the closure during the next sync
The opportunity will be "locked" from receiving further "In Treatment" status updates
Only active, open charts will continue to receive EMR integration updates
Your abandoned opportunities will maintain their correct status
