Troubleshooting KIPU Bedboard Discrepancies: Missing Patient Names in Dazos (CRM)

This guide helps you resolve situations where the bedboard in Dazos CRM does not match the occupied beds in KIPU EMR, or where beds are displayed without patient names. Follow the steps below to identify the cause and re-sync your data.

Symptom / Error

The number of occupied beds shown in the Dazos bedboard does not match what is recorded in KIPU. Some beds on the Dazos bedboard display without a patient name, even though a patient is admitted in KIPU.

Cause

This mismatch occurs when patient records in KIPU are not linked to the corresponding Intake Opportunity in the Dazos CRM. Without a matching connection between the KIPU census record and the CRM Intake Opportunity, the system cannot populate the patient's name on the bedboard — resulting in beds that appear occupied but show no patient information.

In short: the bedboard pulls patient name data from the CRM Intake Opportunity. If KIPU and the CRM records are not aligned, the name field is left blank.

Solution

Step 1: Request a Bedboard Refresh

The first step is to re-sync the bedboard data from the KIPU integration. Contact Dazos Support and request a manual refresh of your bedboard from the integration. This pulls the latest census data from KIPU into Dazos and can resolve count discrepancies immediately.

After the refresh, check whether the bed counts now match between KIPU and Dazos.

Step 2: Align KIPU Census Data with CRM Intake Opportunities

If beds still appear without patient names after the refresh, the underlying cause is a mismatch between KIPU records and CRM Intake Opportunities. To resolve this:

  1. Review your current census in KIPU and identify which patients are actively admitted.

  2. For each admitted patient, confirm that a corresponding Intake Opportunity exists in Dazos CRM.

  3. Verify that the patient details on the Intake Opportunity (name, date of birth, location, etc.) match the information recorded in KIPU.

  4. Once the records are aligned, the next sync will allow the system to match the KIPU census entry to the correct CRM Intake Opportunity and display the patient name on the bedboard.

Step 3: Confirm the Bedboard is Displaying Correctly

After completing the steps above, review the Dazos bedboard to confirm that:

  • The total number of occupied beds matches your KIPU census.

  • Patient names are now appearing next to the correct bed assignments.

If any beds still show without a patient name, note the specific bed entries and share them with Dazos Support for further investigation.

Contact Dazos Support if:

  • Bed counts still do not match after a bedboard refresh.

  • Patient names remain missing after aligning KIPU census data with CRM Intake Opportunities.

  • You are unsure which KIPU records are missing a corresponding CRM Intake Opportunity.

  • You need Dazos to access your KIPU environment directly to investigate a potential root cause.

⚠️ Note: When escalating, Dazos Support may request that you create a KIPU profile with the email [email protected] to allow the team to access your KIPU bedboard data and investigate the mismatch directly.
