Troubleshooting Automatic KIPU-Dazos Patient Linking Issues (CRM)

Overview: This guide helps you resolve issues when intake opportunities stop automatically linking between Dazos and your KIPU EMR system.

Symptom: Automatic Linking is Failing

You will notice this issue when your systems stop communicating properly, requiring manual intervention for records that should connect automatically. Specific symptoms include:

  • New intake opportunities in Dazos are not automatically linking to patient records in KIPU.

  • Patient records marked as "Accepted" in KIPU are not updating in Dazos.


Cause: Why the Connection Breaks

The automatic linking typically breaks due to configuration changes in your EMR system that disrupt the matching rules. Common culprits include:

  • Location name changes in your EMR system.

  • Field modifications in KIPU that affect matching rules (like changes to the "Admitting to LOC" field logic).

  • Connection timeouts or authentication issues between systems.


Solution: Backend Reconnection

To restore automatic linking, our technical team will execute the following steps:

  1. Integration Reconnection: We will refresh and reconnect the KIPU integration to ensure stable communication.

  2. Konnector Recreation: The Konnector component will be completely recreated to align with your current KIPU setup and capture any recent field changes.

  3. Live Testing: We will perform a live test by marking a patient as "Accepted" in KIPU to verify the automatic link populates correctly in Dazos.


Escalation: When to Contact Support

Since this issue requires backend access, please contact Dazos Support immediately if you notice the linking has stopped. Reach out right away if:

  • Multiple intake opportunities are failing to link automatically.

  • The issue persists after 24 hours.

  • You have recently made changes to location names or field configurations in KIPU.
