Overview
This guide explains what to do when an insurance provider exists in your CRM settings but does not appear in the dropdown on the Intake Opportunity module. This is typically caused by the Intake Opportunity module using a customized (non-global) picklist for the Insurance Provider field, rather than the shared global picklist.
Symptom
An insurance provider (for example, Cherokee) is visible in the Insurance Provider section of your CRM settings, but it does not appear in the Insurance Provider dropdown when editing or creating an Intake Opportunity record.
Users are unable to select the insurance provider and may attempt to add it manually as a temporary workaround.
Cause
The Intake Opportunity module can be configured to reference the account's insurance provider picklist as a lookup field. If that account-level picklist is set to use a customized list instead of the global picklist, the two lists become out of sync.
Any new insurance providers added to the global picklist will not automatically appear in the Intake Opportunity dropdown until the account's picklist is switched to use the global list.
Solution
The fix is to update the account's Insurance Provider picklist configuration to use the global picklist instead of the customized one. This ensures the dropdown on the Intake Opportunity module stays in sync with all insurance provider values across your CRM.
⚠️ Important: If the Insurance Provider field is linked to an EMR integration, you will not be able to make this change yourself. Skip to the Escalation section below and contact Dazos Support to make the change on your behalf.
Go to Settings → CRM Settings → Module Management → Picklist Field Values.
In the Select Module dropdown, choose Accounts (or the module where your Insurance Provider picklist is configured).
In the Select Picklist dropdown, find and select the Insurance Provider field.
Check whether the picklist is currently set to use a customized list. If it is, change the configuration to use the global picklist instead.
Save your changes.
Navigate to an Intake Opportunity record and open the Insurance Provider dropdown to verify the missing values now appear.
Verification / Expected Result
After switching to the global picklist:
All insurance provider values from the global list will appear in the Intake Opportunity dropdown.
New insurance providers added to the global picklist in the future will automatically be available in Intake Opportunity records.
No further manual workarounds (such as adding a payer temporarily) will be needed for this field.
Escalation
Contact Dazos Support if any of the following apply:
The Insurance Provider field displays a message indicating it cannot be updated because it is linked to an EMR.
You are unable to locate the picklist configuration in settings.
The insurance provider values still do not appear in the Intake Opportunity dropdown after switching to the global picklist.
You are unsure whether switching to the global picklist will affect any existing EMR integration or data mapping.
💡 Tip: When contacting support, let the team know the specific field name (Insurance Provider), the module affected (Intake Opportunities), and whether the field is linked to an EMR. This will help the team resolve the issue faster.
