Show Only Global Picklists Toggle (CRM)

The Picklist Field Values screen now includes a Show only global picklists toggle switch that filters the picklist field dropdown down to just the picklists that are shared across multiple fields and modules. This makes it much easier to find and edit picklists whose values automatically propagate everywhere they're used — for example, Level of Care — without scrolling past every standalone picklist in the module.

You will need: an administrator account with access to CRM Settings.

Access requirements: the Picklist Field Values screen is available to admin users only. This toggle is enabled automatically for every instance — no support ticket required to turn it on.

If you can't see the screen at all, your account may not have administrator privileges. Contact your CRM owner or Dazos support to confirm your role.

A global picklist is a picklist whose values are shared by two or more fields — often across different modules. The classic example in CRM is Level of Care: the same dropdown values appear on the Patient record, on Treatment History entries, and anywhere else LOC is tracked. When you rename a value on the master picklist, every field that follows it picks up the new value automatically.

Before this update, there was no fast way to tell which picklists were global. You had to open each field in the Layout Editor and check its configuration. The new toggle solves that — it filters the dropdown to only show picklists that other fields are following.

1. From the CRM, open Settings → CRM Settings → Picklist Field Values.

2. At the top of the page, you'll see the Select Module dropdown you already use today.

3. To the right of that dropdown, there is a new green toggle switch labelled Show only global picklists.

By default the toggle is off (grey, knob on the left) — the screen behaves exactly as it always has, so nothing changes until you decide to use the filter. When you flip it on, the switch turns green and the knob slides to the right.

1. Select a module from the Select Module dropdown.

2. Flip the Show only global picklists toggle to the ON position (green).

3. The Select Picklist in {Module} dropdown now lists only the picklist fields in that module that act as global picklist masters. Any standalone picklist (one that isn't shared with another field) is completely removed from the list — not just greyed out.

4. If the module you've selected has no global picklists at all, you'll see a friendly notice: "No global picklists exist in this module."

Thetoggle'sstate isrememberedbetweenvisits. Ifyouflip it on and reload the page tomorrow, it will still be on — saving you a click each session.

Once you've narrowed the dropdown down with the toggle:

1. Pick the global picklist you want to edit (for example, Level of Care).

2. The picklist's values appear in the table below — exactly as they always have.

3. Click Rename, Delete, Add Value, or use the bulk-delete checkboxes as needed.

4. Save your changes.

Because this is a global picklist, the change immediately applies to every field on every module that follows it. There is nothing extra to do.

If the toggle is ON and you switch to a different module:

● The dropdown automatically refilters to only the global picklists in the newly-selected module.

● The first global picklist in that module is selected for you, and its values load below.

● If the new module has no global picklists, you'll see the "No global picklists exist in this module." notice. Flip the toggle off to see the module's standalone picklists.
