Updated over 3 months ago

Overview
Workflows in Dazos CRM enable powerful automation based on defined conditions. This guide walks you through creating a new email workflow from the Automation Settings section. By the end, you’ll know how to define triggers, configure conditions, add actions (like sending emails), and finalize your automated process.

Before You Begin
• Access to Dazos CRM with admin permissions
• A clear understanding of the business process you want to automate
• Email templates prepared (if the workflow will include email actions)

Steps

1. Log In to Your CRM Instance

Navigate to your company's CRM login link and sign in.

2. Open CRM Settings

Click on "Settings" in the main navigation, then choose "CRM Settings" from the options.

3. Access Automation

Click on "Automation" in the settings section.

4. Go to Workflows

Click on "Workflows" to open the workflow configuration page.

5. Select “New Workflow”

Click "New Workflow" to begin creating a new workflow.

6. Define Workflow Name

Enter a clear, descriptive name in the "Workflow Name*" field.

7. Set Execution Frequency

Select “Only first time conditions are met” to trigger the workflow only once per matching record.

8. Configure Conditions

Click “All Conditions (All conditions must be met)” to set the logic that triggers the workflow. Choose modules like Referral Sources, Accounts, Campaigns, or Referral Contacts.

9. Add Email Action

Click on "Send Mail" to create an automated email action.

10. Refine Email Settings (If Needed)

Click "Send Mail" again to edit the email configuration.
Note: The “From” address is always set to the System Default.

11. Define Email Recipient

Set the recipient dynamically using a field like "Account Name: (Accounts) Primary Email."

12. Final Save: Click "Save" one last time to finalize all changes to your workflow.

Tip

Workflows are reusable and customizable. You can clone existing ones or modify conditions to fine-tune automation as your business grows.

Verification / Expected Result
• The workflow appears in the Workflows list.
• It triggers when defined conditions are met.
• Emails or actions run automatically based on setup.

Troubleshooting / Common Errors
• Workflow not triggering: Double-check conditions against actual record data.
• Email not sending: Confirm recipient fields are populated and valid.
• Action missing: Ensure all workflow steps were saved before exiting.
