Troubleshooting Task Assignment Notification Workflows (CRM)

Overview This guide helps you troubleshoot and fix issues with task assignment notifications in Dazos CRM. If team members are not receiving email notifications when tasks are assigned to them, the issue is typically related to workflow configuration.

Symptom/Error

Team members experience inconsistent task assignment notifications:

  • Some users receive email notifications when assigned tasks, others do not

  • Manual messages sent through the Messages icon work correctly

  • Automatic notifications for new task assignments are missing

Cause

Task assignment notifications require a properly configured workflow to function correctly. Unlike manual messages, automatic notifications depend on the "Task Notifications" workflow being set up to trigger when tasks are created and assigned.


Solution

Follow these steps to configure the Task Notifications workflow:


Step 1: Navigate to Workflow Settings

  1. Log into your Dazos CRM instance

  2. Click Settings in the main menu

  3. Select CRM Settings

  4. Click Automation and Workflows on the right side of the page

Step 2: Locate or Create Task Notifications Workflow

  1. Look for an existing "Task Notifications" workflow

  2. If none exists, click Create New Workflow at the top

  3. Enter a clear name like "Task Assignment Notifications"

  4. Set the workflow status to Active

Step 3: Configure Workflow Trigger

  1. Set the Trigger to "Task Created" or "Activity Updated"

  2. Set Recurrence to "Only first time conditions are met" to avoid duplicate notifications

  3. Add conditions to ensure the workflow only triggers when a task is assigned:

    • Assigned To: Is Not Empty

    • Task Status: Equals "Not Started" (optional)

Step 4: Configure Workflow Action

  1. Select Send Email Alert as the action

  2. Choose or create an email template for task assignment notifications

  3. Set the recipient to the "Assigned To" field (this will dynamically send to whoever is assigned the task)

  4. Enable Notification to inform assignees

Step 5: Save and Test

  1. Click Save to finalize your workflow

  2. Create a test task and assign it to a team member

  3. Verify that the assignee receives an email notification

Verification / Expected Result

After configuring the workflow correctly, you should see:

  • All team members receive email notifications when tasks are assigned to them

  • Notifications are sent immediately upon task creation and assignment

  • Manual messages through the Messages icon continue to work as before

Troubleshooting / Common Issues

Notifications still not working:

  • Check that user email addresses are correctly entered in their profiles

  • Verify that users have email notifications enabled in their personal settings

  • Ensure the workflow is set to "Active" status

Some users receive notifications, others don't:

  • Check individual user notification preferences

  • Verify all users have valid email addresses in the system

  • Test with different users to isolate the pattern

Escalation

If task assignment notifications continue to fail after following these steps:

  • Document which users are affected and which are working correctly

  • Take screenshots of your workflow configuration

  • Contact Dazos Support with the workflow settings and affected user details
