Step 1: Go to your Dazos CRM instance.
Step 2: Click Settings in the main menu.
Step 3: Select CRM Settings.
Step 4: On the right side of the page, click Automation and Workflows.
Step 5: Click Create New Workflow at the top.
Step 6: Enter the workflow information. Add a clear name and description about the alumni follow-up task.
Step 7: Set the workflow status to Active. Leave Sequence and Delay blank unless needed.
Step 8: For the Trigger, choose Opportunity Updated. This covers both creation and updates, helping you trigger at the right time.
Step 9: Set Recurrence to Only first time conditions are met to avoid duplicate tasks.
Step 10: If needed, select a Related Module. For alumni tasks, you usually don’t need to choose one.
Step 11: Add workflow conditions:
Sales Stage: Set the condition to “Admitted.”
Admitted Status: Set this to “Not in Treatment.”
Discharge Date: Make sure this is set to “Is Not Empty.”
Step 12: Define the workflow action. Select Create a Task.
Step 13: In the task configuration, fill in:
Action Title: Something like “Alumni Follow-Up.”
Priority: Set to High.
Assigned To: Set to “Administrator” or your preferred team member.
Start Date: Set this to one day after discharge. Leave hours and minutes empty if not necessary. Be sure to fill out this information so the workflow runs smoothly.
Choose After and reference the Discharge Date.
Start Time: Set this to a convenient hour, e.g. 9:00 AM.
Due Date: One day after discharge.
End Time: Set to standard business hours, e.g. 5:30 PM.
Notification: Enable to inform assignees.
Step 14: Click Save to save the task action.
Step 15: Click Save again to finalize your workflow.
Step 16: Once more, click the main Save button to apply changes.
Your alumni follow-up task workflow is now active. This automation makes sure that follow-up tasks go to the right person, at the right moment—without duplicates or missed steps.
