Before You Begin
Ensure you have access to patient records and the ability to edit patient information in Dazos CRM. You must understand when patients are scheduled to be discharged to set this field at the correct time.
Steps
Navigate to the Patient Record: Open the patient record for whom you want to prevent alumni follow-up tasks.
Locate the 'Do Not Follow Up' Field: Find the 'Do Not Follow Up' checkbox in the patient record.
Set the Checkbox BEFORE Discharge: Check the 'Do Not Follow Up' box before the patient is officially discharged from the system.
Save the Patient Record: Save the changes to ensure the setting is applied.
Complete the Discharge Process: Proceed with the normal discharge workflow.
Verification / Expected Result
When the 'Do Not Follow Up' checkbox is properly set before discharge, no alumni follow-up tasks will be created for that patient. The automation workflow will recognize the flag and skip task creation entirely.
Critical Timing Requirements
⚠️ Important: The 'Do Not Follow Up' checkbox must be set BEFORE the patient is discharged. The alumni follow-up automation triggers at the exact moment of discharge.
If you set the checkbox after discharge has already occurred:
Tasks will already have been created automatically
Updating the patient record afterward will not remove existing tasks
The tasks will remain on your calendar until manually removed
Troubleshooting / Common Issues
Tasks Still Appearing After Setting Checkbox: If you're seeing tasks for patients who have the 'Do Not Follow Up' box checked, these are likely legacy tasks that were created before the checkbox was set. Contact Dazos Support for bulk removal of existing tasks for all records where 'Do Not Follow Up' is currently checked.
Manual Workflow Runs: If a manual sync or workflow run is performed, it may create tasks for all discharge-eligible records. Ensure the 'Do Not Follow Up' filter is properly configured in the workflow logic before running manual updates.
