Overview: This guide details the steps for embedding a direct, clickable URL link to the related Intake Opportunity record inside an automated email alert sent via a CRM workflow. This dramatically speeds up communication and follow-up time for reps.
When to Use / Why It Matters
This feature is essential for automating time-sensitive notifications, especially for business development (BD) reps or admissions staff.
Why It Matters: When a workflow triggers an alert (e.g., a status change, a new lead assignment), the recipient (the BD Rep) needs to access the record instantly. This direct link eliminates the need for the rep to search the CRM, reducing lag and ensuring immediate action.
Scenarios: Use this for alerts like "New Hot Opportunity Assigned," "Client Stage Updated," or "VOB Ready for Review."
Details / Main Content: Inserting the Direct URL
The direct link is inserted using a specific General Field merge tag that dynamically pulls the URL of the record that triggered the workflow.
1. Prerequisite: Verify the Workflow Module
The link will always point to the module selected as the Primary Module for the workflow.
Action: Before editing the email template, ensure the workflow is configured for the Intake Opportunities module.
Path: Go to Settings, Automation, Workflows, and select the one workflow you specifically need
2. Accessing the Email Alert
Go to the Workflow Actions section and open the specific Email Alert you wish to modify.
3. Inserting the CRM Detail View URL
Place the Cursor: In the email body text editor, place your cursor exactly where you want the link to appear (e.g., "Click here to view the client file:").
Select the Tag: Scroll down to the General Fields section.
Select and insert the field labeled: CRM Detail View URL.
Save: Click Save on the email alert, and then Save the entire workflow.

Tips & Notes
Link Text Customization: To make the link more user-friendly, you can hyperlink text over the raw URL tag. For example, highlight the words "Click Here" and set the hyperlink URL to the CRM Detail View URL merge tag.
Testing is Crucial: Always trigger the modified workflow with a test client to ensure the email is received and the link correctly opens the Intake Opportunity record.
