Workflows Cannot Auto-Convert a Lead to an Account and Intake Opportunity (CRM)

Overview

Dazos CRM workflows do not support a Convert Lead action. If you were hoping to use a workflow to automatically convert a Lead into an Account and Intake Opportunity — for example, after a webform submission — this is not currently possible through the workflow engine.

This article explains what workflows can do with leads, how true lead conversion works, and what alternatives are available.

Key Concepts

  • Lead: A prospect record created in the Leads module — for example, from a webform submission or manual entry.

  • Lead Conversion: The process that transforms a Lead into an Account and an Intake Opportunity, then removes the Lead from the Leads module. This process must be triggered manually.

  • Create Intake (Workflow Action): The only Lead-related action available in Dazos workflows. It creates an Intake Opportunity alongside the existing Lead but does not convert or remove the Lead.

  • Convert Lead Button: The manual trigger on a Lead record that performs a full lead conversion — creating the Account and Intake Opportunity and removing the Lead.

How It Works

What workflows can do: A Dazos workflow can be configured to fire when a Lead is created or updated and can use the Create Intake action to generate an Intake Opportunity. However, this action adds the Intake Opportunity alongside the existing Lead — it does not convert the Lead, does not create an Account from the Lead, and does not remove the Lead record.

What workflows cannot do: Workflows do not have a Convert Lead action. Full lead conversion — which transforms the Lead into an Account and Intake Opportunity and removes the Lead — cannot be triggered automatically by a workflow.

How to perform a full lead conversion: After a Lead comes in (for example, from a webform submission), a team member must open the Lead record and click the Convert Lead button. This manual step:

  • Creates a new Account from the Lead data.

  • Creates an associated Intake Opportunity.

  • Transfers field data from the Lead to the new records according to your configured field mapping.

  • Removes the Lead from the Leads module.

Important Notes

Alternative approach — skip the Lead entirely: If your goal is to avoid the manual conversion step, consider configuring your webform to create an Intake Opportunity directly instead of a Lead. This bypasses the Lead module and the conversion step altogether. Discuss this option with your Dazos administrator or contact Dazos Support to evaluate whether this approach fits your workflow.

Why a workflow with a "Create Intake" action is not the same as converting a lead: A workflow-created Intake runs in parallel with the Lead — both records exist at the same time. The Lead is never marked as converted, never removed, and no Account is created as part of that process. This is fundamentally different from the full conversion triggered by the Convert Lead button.

Field mapping is preserved on manual conversion: When you convert a Lead using the Convert Lead button, all relevant fields transfer to the resulting Account and Intake Opportunity according to your existing field mapping configuration. The resulting records will be fully populated — not blank.
