How to Add Additional Intake Opportunities to Existing Accounts

To track returning patients, add a new Intake Opportunity to their existing account whenever they start a new treatment episode. This maintains their full history without creating duplicate records.

Before You Begin

Ensure you have access to the existing patient's account in the CRM.

Verify that the patient already exists in your system to avoid creating duplicates.

Steps

  1. Navigate to the existing patient account:
Go to Accounts in your CRM and search for the patient's existing record

  2. Access the account:
Click on the patient's account to open their profile.

  3. Add a new Intake Opportunity:
Look for the Intake Opportunities section within the account and click the option to add a new opportunity.

  4. Complete required fields:
Fill out the necessary information for the new treatment episode. For fields you don't want to complete, ensure they are set as non-mandatory or leave them as-is.

  5. Save the new Intake Opportunity:
Save your changes to create the additional Intake Opportunity linked to the existing account.

Verification / Expected Result

The patient's account will now show multiple Intake Opportunities, each representing a different treatment episode. This allows you to track the patient's history while preventing duplicate account creation.

You can view all treatment episodes for the patient in one centralized location within their account profile.

βœ… Best Practices

  • Always search for existing accounts before creating new ones

  • Use the existing account structure to maintain patient history

  • Configure mandatory fields appropriately to streamline the process
