Troubleshooting VOB Payer Code Not Updating When Insurance Changes

This guide helps resolve issues where payer codes don't update immediately when changing the primary insurance company during a full VOB (Verification of Benefits) submission, causing incorrect data to be sent to EMR integrations.

Symptom/Error

When updating the primary insurance company while creating a new full VOB:

  • The insurance company name updates successfully in the patient's insurance policy table

  • The payer code retains the old value and doesn't update immediately

  • Incorrect payer code information gets sent to EMR systems (like Kipu)

  • The payer code may eventually update automatically after approximately 24 hours

Cause

This issue was caused by a workflow logic problem in the VOB module. The system was updating the primary insurance company name but failing to update the corresponding payer code at the same time, creating a data mismatch.

Solution

This issue has been resolved by the Dazos development team. The fix ensures that when you change the primary insurance company during VOB submission, the payer code updates immediately to match the new provider.

To verify the fix is working:

  1. Submit an instant VOB with a specific insurance provider

  2. Create a new full VOB for the same patient

  3. Change the primary insurance company to a different provider

  4. Complete the remaining mandatory fields and save the full VOB

  5. Navigate to the patient's insurance policy table

  6. Verify both the insurance company name and payer code have updated correctly
