How to Find Insurance Payer Codes for VOB Verification (CRM)

Overview

When you need to run VOB (Verification of Benefits) checks for insurance companies, you'll need the correct payer codes. This guide shows you how to search for active payer codes in the clearinghouse database and what to do when codes aren't available.

Before You Begin

  • Access to Dazos support or administrative privileges

  • Insurance company names you need to verify

  • Understanding that some payers may require manual verification

Steps

1. Search the Clearinghouse Database

Contact Dazos support to search the clearinghouse database for active payer codes. Provide the exact insurance company names you need codes for.

Support agents can search for multiple variations of insurance companies, including regional or plan-specific codes. For example, Physicians Care may have different codes for different states:

  • 06051 (Maryland Physicians Care)

  • 01257 (Schaller Anderson MD Physicians Care)

  • BO00019 (Physicians Care - BO)

  • 00301 (University Physicians Care Advantage - AZ)

2. Contact pVerify for Missing Codes

If the insurance company doesn't appear in the standard clearinghouse database, support will escalate to the clearinghouse to confirm if specific payer IDs are available.

This process may take additional time as it requires coordination with the external partner.

3. Add Active Codes to Your System

Once payer codes are confirmed, support will add them directly to your Dazos instance so you can run VOB checks immediately.

You'll receive confirmation when the codes are active and ready to use.

Verification / Expected Result

After completion:

  • Active payer codes will be available in your VOB system

  • You can successfully run electronic verification checks

  • Codes will appear in your payer selection dropdown

Manual Verification for Unsupported Payers

⚠️ Important: Some insurance companies do not support electronic data processing through clearinghouses. In these cases, you'll need to verify benefits manually via:

  • The insurance company's online portal

  • Phone calls to the insurance company

  • Traditional paper-based verification methods

Troubleshooting / Common Issues

Payer not found in database: This is normal for some regional or smaller insurance companies. Support will check with the clearinghouse for availability.

Multiple codes for same company: Some insurers have different codes for different regions or plan types. Confirm which specific plan or region you're working with.

Electronic verification unavailable: Some payers require manual verification only. Support will confirm this during the search process.
