How Users Appear in Dashboard Reports Based on Record Assignments

In Dazos, users do not appear in reports by default just because they have an account. A user’s name only populates in a report once they have at least one record assigned to them that meets the report's specific criteria.

Before You Begin

  • Ensure the user already exists and is assigned to the proper role in the User Management settings.

  • Verify the dashboard report is configured (e.g., "Leads by Rep").

Steps

1. Verify User Role

Check that the user already exists in the system for your specific report (e.g., "New Calls by Rep" report).

2. Create a Test Record

Navigate to your CRM and create a new test lead or record that matches the report criteria.

3. Assign the Record

Assign the test record to the user you want to see appear in the report.

4. Check the Dashboard

Navigate to your dashboard report and verify that the user's name now appears with the assigned data.

Verification / Expected Result

Once you assign a record to a user, their name will automatically populate in the dashboard report with the assigned data. The system reflects live assignments immediately, so you should see the change right away in your report.

How Report Population Works

Dashboard reports in Dazos work dynamically with record assignments:

  • Users appear in reports automatically once records are assigned to them

  • No manual configuration is needed beyond the initial user mapping

  • Reports reflect live assignments in real-time

  • As soon as a user begins receiving live assignments, they will appear in the relevant reports

Troubleshooting / Common Issues

User Not Appearing After Assignment: Verify that the user is properly mapped to the specific report type and that the record assignment was saved successfully.

Data Not Updating: Refresh your browser or check that the assigned record meets the report's filter criteria.
