How to Use Manual Pull Patients from EMR to Retrieve Historical Records

The Manual Pull Patients from EMR feature allows administrators to manually retrieve specific patient records from your EMR (like Kipu or Alleva) and create new Account and Intake Opportunity records in Dazos CRM using the mapped EMR data.

Before You Begin

You must have administrator access to use this feature. Note that this tool has limitations:

  • It does not pull all historical records (limited date range)

  • Some fields like lead source or referral source may not transfer

  • It's recommended to test with one patient first to validate what data transfers

Steps

  1. Navigate to EMR Settings
    Go to Settings β†’ CRM Settings β†’ Integrations β†’ EMR Settings

  2. Access Manual Pull Feature
    Click on Manual Pull Patients from EMR

  3. Run the Manual Pull
    Execute the pull for your desired patient(s)

  4. Verify Record Creation
    Confirm that new Account and Intake Opportunity records are created in the CRM with the mapped EMR data

Verification / Expected Result

After running the manual pull, you should see new patient records created in Dazos CRM that include:

  • Patient Account information

  • Intake Opportunity record

  • Related objects like contacts and insurance policies (when available in EMR mapping)

The records will contain whatever data is available through your current EMR field mapping configuration.

Troubleshooting / Common Errors

Missing Data Fields: If important fields like lead source or referral source are missing, this is expected behavior. The manual pull only transfers fields that are currently mapped in your EMR integration settings.

Limited Historical Range: If you don't see older patient records, remember that this feature doesn't pull all-time historical records - it's based on what's currently available to pull at that moment.

Incomplete Records: Always test with one patient first to validate what data transfers before running larger batches.
