How to Set Up Daily Consolidated Email for Intake Opportunities (CRM)

This guide shows you how to stop receiving individual emails for each new intake opportunity and instead receive one consolidated daily email with all intake opportunities created that day.

Before You Begin

Ensure you have:

  • Administrative access to Reports and Workflows

  • Knowledge of which email address should receive the consolidated reports

  • Understanding of your preferred delivery time and format

Method 1: Scheduled Daily Reports

This is the recommended method for most organizations as it provides a clean, formatted summary.

Steps

  1. Navigate to Reports+ Add Report

  2. On the Report Details page, configure:

    • Set Primary Module = Intake Opportunities

    • Add filter: Created Time = Today

    • Name your report (e.g., "Daily Intake Summary")

  3. Check the Schedule Report option

  4. Configure scheduling:

    • Set Run Report = Daily

    • Choose At Time and select your preferred delivery time

    • Select Recipients or use Send to specific email for an alias

  5. Choose your preferred File Format (PDF or CSV)

  6. Save the report

Expected Result

You will receive one email daily at your specified time containing all intake opportunities created that day in your chosen format.

Method 2: Built-in Daily Admissions Email Workflow

Dazos includes a pre-configured workflow called "Daily Admissions Email" that automatically sends consolidated daily emails.

Steps

  1. Navigate to SettingsAutomationWorkflows

  2. Look for the workflow named "Daily Admissions Email"

  3. Verify the workflow is active and configured correctly

  4. Check that it's set as a "list-based email workflow" with time interval triggers

  5. Ensure the recipient email addresses are correct

Troubleshooting Common Issues

Still Receiving Individual Emails?

If you're still getting one email per intake creation, check that:

  • Any existing record-creation-triggered workflows are disabled or modified

  • The "Daily Admissions Email" workflow hasn't been accidentally modified

  • Your email filters aren't separating the consolidated emails

Daily Admissions Email Not Working?

The built-in "Daily Admissions Email" workflow may have been modified or disabled. Contact Dazos Support to restore the original configuration.

Tips & Best Practices

  • Limit Scheduled Reports: Keep scheduled reports under 5 per week to reduce email noise

  • Test First: Test your configuration with a small group before rolling out organization-wide

  • Choose Appropriate Times: Schedule delivery for times when staff can act on the information

  • ⚠️ Don't Disable Built-in Workflows: The "Daily Admissions Email" is designed for this purpose - modify recipient lists rather than disabling it
