How to Add Attachments to CRM Workflow Emails (CRM)

CRM workflow emails support multiple methods for including attachments, giving you flexibility to send relevant documents automatically when workflows trigger.

Before You Begin

  • You must have a CRM workflow set up

  • For document attachments, files must already be uploaded to the Documents module tied to your Account or Opportunity records

  • For email template attachments, you'll need to create or edit an email template first

Attachment Methods Available

There are three ways to include attachments in CRM workflow emails:

Method 1: Auto-Generated PDFs

Workflows can automatically attach system-generated PDFs like VOBs (Verification of Benefits) or PAAs (Prior Authorization Approvals).

Method 2: Email Template Attachments

You can use an email template in your workflow that has documents already uploaded to it. These attachments become part of the template and will be included whenever the template is used.


Method 3: Documents from Records

Workflows can attach any documents that are stored in the Documents module and tied to the specific Account or Opportunity record that triggered the workflow.

Steps to Set Up Attachments

Using Email Templates with Attachments

  1. Create or edit an email template in your CRM

  2. Upload the documents you want to include as attachments to the template

  3. Configure your workflow to use this email template

  4. When the workflow triggers, it will send the email with the template's attached documents

Using Documents from Account/Opportunity Records

  1. In your workflow email configuration, look for options to attach documents

  2. Select the option to attach documents from the record's Documents module

  3. Choose which documents tied to the Account or Opportunity should be included

  4. Save your workflow configuration

Expected Result

When your workflow triggers, the email will be sent with the specified attachments included. Recipients will receive the email with the documents attached, whether they're from templates, record documents, or auto-generated PDFs.

Important Notes

  • Record-tied documents: Only documents already uploaded to the Documents module for that specific Account or Opportunity will be available for attachment

  • Template attachments: These are static files that become part of the template itself

  • Auto-generated PDFs: These are created by the system based on your workflow configuration
