How to Configure Workflows to Trigger Only Once Instead of on Every Record Update (CRM)

How to modify workflow settings so they trigger only when conditions are first met, rather than every time a record is updated. This is particularly useful for email notifications like VOB requests that should only be sent once initially.

Before You Begin

  • Ensure you have access to workflow settings in your CRM

  • Identify the specific workflow that's triggering too frequently

  • Have a backup plan for manual updates when needed

Steps

Step 1: Locate Your Workflow

Navigate to your workflow settings and find the workflow that's triggering on every record update (e.g., "VOB Email Request to Billing Team").

Step 2: Modify Trigger Settings

Access the workflow configuration and locate the trigger conditions section. Configure the workflow to trigger only the first time the specified conditions are met, rather than on every record update.

Step 3: Save and Test the Configuration

Save your workflow changes and test with a sample record to ensure the workflow triggers only on the initial condition match, not on subsequent edits.

Alternative Solution: Use Email Templates for Manual Updates

For occasions when you need to send updated requests manually, use Email Templates instead of relying on automated workflows.

Why Email Templates Work Better for Manual Updates

  • Send requests only when necessary

  • Full control over timing and content

  • No risk of automatic triggering from unrelated file edits

  • Allows for customization of each manual request

Verification / Expected Result

After implementing these changes:

  • Your workflow will trigger only when conditions are first met

  • Subsequent file edits will not trigger automatic emails

  • Manual updates can be sent using Email Templates when needed

  • You'll have better control over when notifications are sent

Troubleshooting / Common Errors

Workflow still triggering on every update: Double-check that you've modified the trigger conditions correctly and saved the changes.

No emails being sent at all: Verify that the workflow is still active, and that test records meet the initial trigger conditions.

Need to send manual updates: Use Email Templates rather than trying to modify the automated workflow for occasional manual sends.
