Workflow Email Templates: Data Table Support Limitations (CRM)

Overview Workflow email templates in Dazos CRM currently do not support pulling data directly from data tables, including insurance tables.

Current System Limitations

The workflow email system cannot access data stored in:

  • Insurance data tables

  • Provider phone numbers from insurance tables

  • Member services contact information from data tables

  • Other custom data table fields

⚠️ Important: This is a known system limitation that has been logged as a feature enhancement request with the Dazos Product Team.


Workaround Solution

To include insurance provider phone numbers in workflow emails, manually populate the dedicated primary fields that the workflow system can access:

  1. Navigate to the Account or Intake Opportunity record

  2. Locate the Insurance Provider Phone field

  3. Manually enter the phone number information

  4. Click Save

The workflow email template will pull data from this primary field rather than the data tables.


Why This Matters

This limitation impacts automation efficiency because:

  • Staff must manually duplicate information that already exists in data tables

  • Risk of data inconsistency between data tables and primary fields

  • Additional administrative steps required for each record

  • Reduced automation benefits for facilities relying heavily on workflow notifications
