Understanding CTM Call Activity Reports vs Lead Creation Reports (CRM)

Overview Understanding the difference between CTM report types ensures accurate call volume reporting and helps troubleshoot discrepancies between expected call counts and report data.

When This Matters

This information is important when:

  • You need accurate call volume reporting for executives or management

  • You're troubleshooting discrepancies between expected call counts and report data

  • You want to track first-time callers specifically

  • You need to differentiate between actual calls taken and new leads created

The Two Types of CTM Reports

"New Calls by Rep" Report

Tracks lead creation, not actual call volume:

  • Shows when a call creates a new record in your CRM

  • Counts only calls that result in new lead generation

  • Does not reflect total number of calls handled by each rep

  • May show lower numbers than expected call activity

"Call Activity" Reports

Tracks actual call volume:

  • Pulls data directly from CTM call logs

  • Shows every call taken, regardless of whether it created a new lead

  • Provides accurate representation of total call handling activity

  • Reflects the true volume of calls processed by each rep

Tracking First-Time Callers

Option 1 — Automatic CTM Field Mapping

If CTM already identifies first-time callers automatically:

  • CTM tags or fields can be mapped directly to Dazos

  • Data flows through the integration in real time

  • Reports update automatically when CTM applies the first-time caller designation

  • Requires identifying the exact field name or tag used in CTM

Option 2 — Manual Caller Type Field

Create a custom field in Dazos for manual categorization:

  • Add a "Caller Type" picklist field to your Leads module

  • Include values like "First Time Caller," "Family Member," "Existing Patient," etc.

  • Staff selects the appropriate category during call intake

  • Reports can then filter specifically for "First Time Caller" entries

How CTM Data Syncs to Dazos

  • Any tags or fields applied in CTM can be mapped to update Dazos automatically

  • Changes in CTM trigger immediate updates in CRM reports

  • Custom fields in Dazos can be populated either automatically (via CTM mapping) or manually by staff

Expected Behavior

✅ Call Activity reports show higher numbers than New Calls by Rep reports

✅ New Calls by Rep reflects lead creation, not total call handling volume

✅ CTM tags and fields automatically update Dazos reports when properly mapped

❌ New Calls by Rep should not be used to measure total call handling volume
