Conversion Rate Percentage Calculations in CRM Reports

1. Overview

CRM-2836 introduces built-in conversion rate percentage calculations to the CRM reporting system. Previously, users had to export raw count data from reports to Excel and manually calculate conversion percentages. This update eliminates that extra step by surfacing the key funnel metrics directly inside every report and dashboard chart widget.

Three conversion metrics are now available:

• Lead → Account: What percentage of leads became accounts?

• Account → Intake Opportunity: What percentage of accounts had an intake opportunity created? • Lead → Admission: What percentage of leads were ultimately admitted?

Tip: All percentages are calculated using only the records returned by the report's active conditions and date filters — not all-time system totals.

2. Enabling Conversion Rates on a Report

2.1 Create or Open a Report

1. Log in to the CRM and navigate to the Reports module from the top navigation menu.

2. Click Create Report to start a new report, or open an existing report and click Customize. 3. Select a report type — Tabular Report or Summary Report.

4. On Step 1, select Leads as the primary module, then click Next.

5. On Step 2, choose the columns to include (e.g. Lead Name, Assigned To, Created Time), then click Next.

Tip: Conversion rate metrics are available when Leads, Accounts, or Intake Opportunities is set as the primary module.

2.2 Select Conversion Metrics

6. On Step 3 (Report Conditions / Settings), locate the Conversion Rates section. Three options are displayed: • Lead → Account

• Account → Intake Opportunity

• Lead → Admission

7. Check one, two, or all three metrics depending on what you want to track.

8. Apply any additional filter conditions (e.g. date range, assigned user) if needed.

9. Click Save.

Tip: Only the metrics you select will appear on the report. You can update selections at any time by editing the report. 3. Running the Report and Reading Results

3.1 Run the Report

10. From the Reports module, locate the report and click Run Report.

11. The results page loads with all configured columns and data rows.

12. At the top of the results page, a conversion rate summary panel displays the selected metrics and their calculated percentages — for example:

• Lead → Account Conversion Rate: 42.50%

• Account → Intake Opportunity Conversion Rate: 68.00%

• Lead → Admission Conversion Rate: 28.75%

Tip: If the report returns zero records in the denominator (e.g. no leads in the selected date range), the metric will display 0% or N/A — not an error.

3.2 How the Percentage is Calculated

Each conversion rate is calculated as:

• (Number of converted records ÷ Total records in the base module) × 100

For example, if a report returns 100 leads and 40 of them were converted to accounts, the Lead → Account Conversion Rate will display 40.00%.

Tip: Changing any report filter (such as date range or assigned user) will update the conversion percentages to reflect only the filtered records.

4. Viewing Conversion Rates on a Dashboard Chart Widget

13. Go to the Dashboard.

14. Click Add Widget and select Chart.

15. Choose the report that has conversion rates enabled.

16. Save the widget.

17. The conversion rate percentages appear near the top of the chart widget, in the same area as the chart title and any configured goal metrics.

Tip: The percentages on the dashboard chart update automatically when the widget's date filter or other conditions are changed — no need to re-open the full report.

5. Editing or Removing Conversion Rates from a Report

18. Open the Reports module and locate the report.

19. Click Customize (or Edit).

20. Navigate to Step 3 and check or uncheck the desired conversion metrics.

21. Save the report.

Unchecked metrics will no longer appear on the results page or dashboard chart widget after the report is saved.

6. Important Notes

• Conversion rate metrics are available on reports that use Leads, Accounts, or Intake Opportunities as the primary module.

• All conversion percentages respect the report's active filters and date conditions. Changing a filter will update the displayed percentages accordingly.

• Existing reports created before this update will not show conversion rates unless the option is manually enabled in the report editor on Step 3.

• This feature is available across all CRM instances (InsightsTx and AllevaCRM).
