1. Who Can Use It
CRM Admins who build Reports and pin them as dashboard widgets.
Clinical Directors and Managers who view dashboards built from these reports.
Admissions, RCM, and Sales leaders monitoring KPIs against goals—they see the gauge but do not configure thresholds.
The gauge respects existing module permissions and data-access controls—users can only build gauges from data they already have permission to view.
2. Accessing the Feature
Sign in to the CRM and open the Reports module from the left sidebar. The Add Report option in the top-right of the Reports list opens the report-type chooser, where Chart & Detail Report starts the four-step builder used to create a Metered Gauge.
3. Creating a Metered Gauge Report
3.1 Start a New Chart & Detail Report From the Reports list, click Add Report in the top-right and choose Chart & Detail Report. The builder opens on Step 1.
3.2 Step 1 — Report Details Enter a clear Report Name (for example, 'Bed Occupancy Gauge'), choose a Folder, and pick the Primary Module that the gauge will measure across (such as Leads, Accounts, Opportunities, or Census). Click Next to continue.
3.3 Step 2 — Select Columns Choose the fields you want to appear in the detail table that accompanies the chart. Drag fields from the Available list into the Selected list. Click Next when finished.
3.4 Step 3 — Filter Conditions (Optional) Add any conditions needed to scope the data—for example, only Open records, only the current month, or records owned by a specific team. Filters are optional; leave the section empty if the gauge should reflect every record. Click Next to advance to Step 4.
3.5 Step 4 — Select the Metered Gauge Chart Type On Step 4 you will see the chart-type grid (Summary, Bar, Pie, Funnel, Colored Counter, Metered Gauge, and more). Click the Metered Gauge card. The card becomes highlighted and the gauge configuration panel appears below the grid with Value Source, Goal, Min, Max, and Color Ranges controls.
3.6 Choose the Value Source In the Value Source dropdown, choose the field whose value the gauge needle should point to. This must be a single numeric value such as a record count, a sum, an average, or a calculated KPI built from a Dazos Expression.
3.7 Set the Min, Max, and Goal Fill in the three required numeric fields:
Min: the lowest value on the gauge scale (for example, 0).
Max: the highest value on the gauge scale (for example, 100, or your bed capacity).
Goal: the target value you want to reach. The Goal must fall between Min and Max.
💡 Tip: For a percentage KPI, set Min = 0 and Max = 100 and label the gauge with a % unit so viewers immediately understand the scale.
3.8 Configure the Color Ranges Under Color Ranges, set up to three colored zones on the gauge arc. Each range has an end value entered as a percentage of the Min–Max span:
Range 1 (red zone): usually the underperforming band, e.g., ends at 60%.
Range 2 (yellow zone): the warning band, e.g., ends at 80%.
Range 3 (green zone): the on-target band, automatically fills up to 100%.
Use the + Add Range button to insert an extra range, and click the colour swatch on a range to change its colour.
💡 Tip: Read ranges left-to-right as ascending percentages. Each range end must be higher than the previous one, and Range 1 must be at least 1% while Range 2 cannot exceed 99%.
3.9 Generate the Report Click Generate Report at the bottom of Step 4. The report opens with the Metered Gauge shown as the chart header—the needle points at the current value of the Value Source and the coloured arc reflects the ranges you defined. The existing View Report hyperlink remains available so users can open the underlying report at any time.
4. Pinning the Gauge to a Dashboard
Once the report has been saved, you can pin it to any dashboard so the gauge is visible without navigating to the report.
Open the saved Metered Gauge report.
Click the pin icon in the top-right of the report header.
Choose the dashboard where the widget should appear.
Open the dashboard—the Metered Gauge widget renders at the position you placed it, with the needle and colours that match the current value.
The gauge widget supports full-screen mode (useful for presentations) and a PDF export button, the same as every other dashboard widget. Tooltips show the exact value when the viewer hovers over the gauge.
5. Editing an Existing Metered Gauge
Targets and capacity change over time. To update the gauge on a report you have already saved:
Open the report from the Reports list.
Click Customize (or the Edit pencil) to re-enter the builder.
Step through the wizard to Step 4—the Metered Gauge card is already selected and the saved Value Source, Min, Max, Goal, and ranges are loaded into the editor.
Adjust any field (Value Source, Min, Max, Goal, or Color Ranges) and click Generate Report again.
Changes are reflected immediately in the report. Any dashboard widget that uses this report picks up the new configuration the next time the dashboard refreshes.
6. Validation Messages
The builder validates the gauge configuration before letting you generate the report. The following messages appear inline beside the affected field and disappear as soon as the issue is corrected:
Limits must be numeric: Min, Max, or Goal contains a non-numeric value.
Limits must be positive: Min, Max, or Goal contains a negative number.
Second limit must be higher than first limit: Max must be greater than Min.
Goal must be between Min and Max: adjust the Goal so it falls inside the Min–Max range.
Range 1 must be at least 1%: the first range cannot start at zero.
Range 1 cannot exceed 98%: must leave room for ranges 2 and 3.
Range 2 cannot exceed 99%: must leave room for range 3.
Each range end must be between 1% and 99%.
Range value is too high: not enough room for remaining segments. Reduce the value.
Generate Report stays disabled while any of these messages is active, so a Metered Gauge report can never be saved with an invalid configuration.
7. What Gets Saved
Chart type = Metered Gauge.
Value Source field selected on Step 4.
Min, Max, and Goal values.
All Color Ranges (range-end percentage + colour).
Report name, folder, primary module, columns, and filter conditions.
Dashboard placement when pinned—the chosen dashboard and tile position.
8. Helpful Tips
Pick a Value Source that genuinely returns a single number—counts, sums, percentages, or Dazos Expressions work best.
Use the conventional traffic-light pattern (red 0–60%, yellow 60–80%, green 80–100%) and adjust to fit your facility's targets.
Keep chart titles short and specific (for example, 'Bed Occupancy — Detox Unit' instead of just 'Census').
Place no more than a few gauges on a single dashboard so each remains readable.
Re-check Min, Max, and Goal whenever the underlying business target changes—new capacity, new revenue goal, new quota.
Use the PDF Export button on the report toolbar to download a print-friendly copy that includes the gauge for offline review.
9. Troubleshooting
The Metered Gauge tile is not visible: Confirm you opened a Chart & Detail report (not a tabular report) and that your role has access to the Reports module. Refresh the browser to clear cached resources.
The needle is stuck at Min or Max: The Value Source is returning a value outside the Min–Max range. Widen the range or check your filters.
The gauge shows 'No data': The filters returned zero records. Loosen the date range or other filters.
Colours look wrong: Re-open the report and confirm the Color Range ends are in increasing order.
Gauge does not refresh on the dashboard: Click the refresh icon on the widget. If it persists, edit the source report and re-save it.
Cannot save the report: Look for a validation message under Min, Max, Goal, or the Range fields and correct the value highlighted in red.
