Clickable Record Links in CRM Text Messages (CRM)

You can now include a direct tappable link to a CRM record in text messages. Recipients tap to open the exact record instantly — no searching needed. Works in workflow SMS actions, Send SMS pop-up, conversation window, and @mention notifications.

1. Before You Start

You will need:

An active SMS gateway set up under Settings → VoIP Controls (CTM, CallRail, Spruce, Vonage, or Dialpad).

A record that has a phone number you can text.

Permission to build workflows (only for the workflow steps in Section 2).

Access requirements: The record-link option appears in the workflow Send SMS action and in the Send SMS pop-up for any user who can use those features. No special setting is required.

If you don't see the option, confirm an SMS gateway is enabled under Settings → VoIP Controls, and contact Dazos support if it still isn't available.

Important: For the link to appear tappable on a phone, it must point to your live CRM web address and be sent from a carrier-registered (A2P 10DLC) number. Links that point to a local or test address will not open on a phone.


2. Add a Record Link in a Workflow Text (Admins)

From the CRM, go to Settings → Workflows, then open or create a workflow on the module you want — for example Accounts, Leads, Intake Opportunities, or Referral Sources — and add a Send SMS action.

In the action editor, type your message, then open the field dropdown next to the message box and choose Record URL. This drops the record-link token into your message wherever your cursor is.

1. Insert Record URL from the field dropdown next to the message.

2. Choose the recipient phone field(s) and a From Number.

3. Click Save.

Tip: When the workflow runs, Record URL is automatically replaced with a direct link to the exact record that triggered the workflow. You can insert it more than once — each one becomes the same record link.


3. Add a Record Link When You Send a Text

Open any record and click Send SMS. In the pop-up, open the General Fields dropdown and choose CRM Detail View Url to insert a link to the current record — or simply type or paste any web link into the message.

Tip: Links now arrive intact and tappable. Keep the link on your own CRM web address and avoid public link shorteners (such as bit.ly), which mobile carriers often block.


4. Conversations and @Mentions

Conversation window: Open a record's Communication tab and choose Show Conversations. Type or paste any link in the message box and it arrives tappable in the text. (This is a free-form chat box, so there is no token picker here.)

@Mentions and tags: When you @mention or tag a teammate — or a group — in a record comment, and that teammate has text notifications turned on with a mobile number and carrier on file, their text now automatically includes a direct link to that record. No setup is needed.


5. Frequently Asked Questions

Q: Where does the link take the recipient? To the exact record the text is about — the workflow's triggering record, the record you are texting from, or the record where the mention happened.

Q: Do I have to insert the link, or is it automatic? In workflows and the Send SMS pop-up you insert it (Record URL / CRM Detail View Url). For @mentions and tags it is added automatically.

Q: The link isn't clickable on my phone — why? Two common reasons: the message was sent from a number that isn't carrier-registered (A2P 10DLC), or the link points to a test or local address. Use your live CRM address and a registered sending number.

Q: Does this work with every SMS provider? Yes. The link is plain text inside the message, so it works across CTM, CallRail, Spruce, Vonage, and Dialpad. (iCampaign messages are processed by iCampaign's own system.)

Q: What happens if the recipient isn't logged in? They are asked to log in first, then can open the record — subject to their normal record permissions.

Q: Does the recipient need permission to see the record? Yes. Normal CRM sharing and permission rules still apply when they open the link.
