Referral Source Performance Metrics (30/90 Days) (CRM)

Every Referral Source record now shows twelve performance figures at a glance: how many opportunities the source referred to you, how many of those were admitted, how many outbound referrals you sent to that source, and the expected revenue behind each — all over rolling 30-day and 90-day windows. No custom reports needed.

1. Before You Start

You will need:

  • Access to the Referral Sources module (any user who can open a referral source record can see the metrics).

  • For the settings screen in section 5: an administrator or customer-admin login.

Access requirements: the metrics follow your instance's Enable Historical Data Sync switch. If the fields show on the record but never move from 0, that switch is likely off — see section 5 for where it lives.

If the fields are not visible on your instance at all, contact Dazos support to confirm the feature has been rolled out to you.

2. View the Metrics on a Referral Source

1. From the left menu, open Referral Sources and click any referral source record.

2. Click the Details tab (next to Summary).

3. Click the Historical data section tab.

The twelve new figures appear below the existing historical fields, and they are read-only — the system calculates them for you and no one can type over them.

3. Reading the Twelve Metrics

The metrics come in two halves. Referent figures are about opportunities this source referred to you (inbound). Referred to figures are about outbound referrals you sent to this source.

How many outbound referrals you sent to this source in the window.

Referred to Admits 30 / 90

How many of those referrals' patients went on to be admitted.

Expected Referred To Value Last 30 / 90 Days

The EIV of the opportunities behind those outbound referrals, added together.

A few rules that make the numbers trustworthy:

"Last 30 days" means today plus the previous 30 days, measured from midnight.

For inbound figures, the clock starts when the opportunity was created. For outbound figures it starts on the referral's Referral Date — or the date the referral was created, when no Referral Date was filled in.

Admits are always a subset of the count next to them: an admit only shows in a window where the referral itself is counted. So Admits can never exceed the Count beside it.

A referral source with no recent activity shows 0 and $ 0 — that is correct, not an error.

Tip: the Expected Revenue figures sum the EIV of all counted opportunities in the window, not only the admitted ones — they answer "how much value did this source send us", not "how much did we admit".

4. When the Numbers Refresh

You never refresh these by hand on the record. They update three ways:

Every referral source is recalculated, which is how the windows shrink as older activity ages out.

Update Historical Data button (admins, see section 5)

Recalculates everything on demand.

Important: a brand-new instance (or a freshly enabled feature) shows 0 everywhere until the first refresh has run. Press Update Historical Data if you do not want to wait for the nightly pass.

5. Change What Counts as an Admit

The four Admit metrics count opportunities whose sales stage is in an admin-controlled list. To review or change that list:

1. Go to Settings → Data Mapping → Historical Data Settings.

2. Confirm the Enable Historical Data Sync box at the top is ticked.

3. Find the row named Referent Admits Last 30/90, Referred to Admits 30/90.

4. Click the pencil icon on that row.

5. In Sales Stage, add or remove the stages that should count as an admission, then click Save.

The next refresh (a record save, the nightly pass, or the Update Historical Data button) uses your new list.

Tip: your instance may show its own name for the admitted stage — for example Admitted instead of Closed Won. The list always shows the stage names your instance uses.

6. Frequently Asked Questions

Q: Can I edit the numbers directly? No. All twelve fields are read-only and system-calculated. Correct the underlying opportunity or referral instead — the numbers follow.

Q: A count went DOWN overnight. Is something broken? No — that is the design. The windows are rolling: when an opportunity's referral date falls out of the last 30 (or 90) days, it stops being counted. The nightly recalculation is what applies that.

Q: Why is Expected Revenue 0 when the counts are not? The counted opportunities have no Expected Insurance Value (EIV) recorded. Revenue figures only sum what EIV holds.

Q: An admit is missing from "Referred to Admits". Check two things: the referral to that source falls inside the window (by its Referral Date, or created date when blank), and the linked opportunity's sales stage is in the admitted list (section 5).

Q: How do I turn the whole thing off? Untick Enable Historical Data Sync on the Historical Data Settings screen. The fields stay visible but stop recalculating.

Q: Do these metrics show for Referral Contacts too? No — this release covers Referral Sources only.

Need Help?

If you run into issues:

1. Press Update Historical Data on the Historical Data Settings screen and re-check the record after a minute.

2. Verify Enable Historical Data Sync is ticked and your admitted-stage list (section 5) is not empty. 3. Contact Dazos support and reference CRM-3716.
