Troubleshooting: Admission Date Saves But Immediately Reverts to Blank (CRM)

Overview

You enter an Admission Date on an Intake Opportunity record, click Save, and the system appears to save successfully — but when the record reloads, the Admission Date field is blank. This happens consistently every time you try to save the date, and affects any record in certain Sales Stages (such as Scheduled to Admit or Admitted).

Possible Causes

  • An active workflow is configured to trigger on record save for the affected Sales Stage(s) and includes an Update Fields action targeting the Admission Date field.

  • The Update Fields action in that workflow has no value set — meaning every time the record is saved, the workflow runs immediately after and overwrites the Admission Date with a blank value.

  • The workflow may have been created with the intention of making the Admission Date required at a certain stage, but an Update Fields action was used instead of the correct approach (a Field Dependency with a Required action).

Solution

  1. Navigate to the Workflows settings. Go to Settings → CRM Settings → Automation → Workflows.

  2. Filter workflows for the Intake Opportunities module. Look for any active workflow that runs on the Intake Opportunities module and triggers on record save.

  3. Inspect each workflow's Update Fields actions. Open each workflow and check whether any Update Fields action targets the Admission Date field. If the action has no value configured — that is, neither a value nor a Set Null/Empty option is selected — this is the cause of the issue. The workflow is silently clearing the field on every save.

  4. Deactivate or correct the workflow. Choose one of the following options:

    • Deactivate the workflow (recommended first step): Set the workflow status to Inactive to stop it from running. Test that the Admission Date now saves correctly before making further changes.

    • Delete or reconfigure the Update Fields action: If the workflow is no longer needed, remove the misconfigured action or delete the workflow entirely. If the intent was to clear the field intentionally, select the Set Null/Empty option within the action to put it in a valid state.

  5. If the goal was to make Admission Date required at a specific Sales Stage, use a Field Dependency instead. A Field Dependency with a Required action is the correct way to enforce that a field must be filled in when a record reaches a particular Sales Stage. Navigate to Settings → CRM Settings → Module Management → Field Dependencies to set this up. Do not use an Update Fields workflow action for this purpose.

  6. Re-enter any Admission Dates that were cleared. Any Admission Dates that were wiped while the misconfigured workflow was active will not be restored automatically. Review affected records and manually re-enter the correct dates.
