Audit Score: see how complete a record is (CRM)

Every record of a module can now show an Audit Score: how many of the fields your administrator chose are complete, as a percentage, together with the list of the fields that are still missing.

What this does

Admissions and clinical staff see at a glance which records need attention and exactly what to fill in, without a manual workflow or a custom field.

Green (80% and up): the record is on track.

Amber (50% to 79%): the record needs attention.

Red (under 50%): the record is incomplete.

The score is worked out on the server each time the record is opened and again after every inline edit, so it is never out of date. Nothing is stored on the record and no new fields are created.

Before you start

You need Administrator access to Settings → Module Layouts & Fields to configure the score. Everyone else only sees the result on records.

The score is configured per module (for example Intake Opportunities). A module with no configuration shows nothing, exactly as before.

1. Choose the fields that make a record complete

1. Go to Settings → CRM Settings → Module Layouts & Fields.

2. In Select Module, pick the module (for example Intake Opportunities).

3. Open the Audit Score tab.

The tab shows the fields already configured, how many there are, and on the right a preview of what users will see with the three colour bands.

4. Click Add fields. A picker opens with every field of the module, grouped by block. Type to search, tick the fields you want, then click Add selected.

5. Each field appears as a row, in the order it will be listed on records. Drag the handle on the left to reorder. The switch on the right keeps a field configured but leaves it out of the score; the bin removes it.

6. Click Save. The bar at the bottom tells you when you have unsaved changes.

2. Decide when a field counts as complete Each row has two options:

Filled in (the default): the field counts as soon as it has a value.

Conditions: the field counts only when the conditions you set are true. Use this when a value is not good enough on its own, for example Insurance Carrier is not Unknown or Lead Source is not Other.

Choosing Conditions opens the same conditions editor used by Workflows. Pick the field, an operator and a value; add more rows to combine them. Click Apply conditions, then Save.

A field set to Conditions must have at least one condition before the configuration can be saved.

3. What everyone sees on a record

Open any record of the configured module. The Audit Score panel sits at the top of the record, under the related-tabs ribbon and the Next Steps strip.

The panel shows the percentage ring in the band colour, how many fields are complete out of how many apply, and the missing fields by name. A sliders icon next to a field means it has conditions attached.

Fill in a missing field inline (pencil, type, tick) and the score updates on the spot, without reloading the page.

Show N completed lists the fields already complete.

Click the panel header to collapse it. The collapsed header still shows the score, and the choice is remembered per module in your browser.

4. Good to know

Restricted fields. Every user sees the same score. If your profile cannot see one of the contributing fields, it is still counted, but its name is shown as Restricted Field.

Fields that do not apply. A field hidden by the module's Field Dependencies for a record (for example a field that only appears for a certain Sales Stage) is left out of that record's score. The panel notes how many fields were left out.

Deleted or hidden fields. If a contributing field is later deleted or hidden from the layout, it is skipped when scoring and shown with a red No longer on the layout badge in the Audit Score tab, where you can remove it.

Older records. Records created before the configuration existed are scored the moment they are opened; nothing needs to be re-run.

Pre-Admission Assessments. The tab warns when that module is close to its field limit. The Audit Score never creates fields; it only references the ones that exist.
