Count-Based Conditions for Multi Select Fields (Crm)

Conditions on a multi-select field can now check how many options are selected, not only which ones

Three new operators, Selections equals, Selections greater than and Selections less than, work in Workflows, Reports, list filters, Kanban boards, Status Indicator, Audit Score, Survey conditions, AI agent rules and iVerify automation rules. For example, a workflow can now act on every patient with more than one Committed Level of Care selected, whatever those levels are.

9. Frequently Asked Questions

1. Before You Start

You will need:

A field of the type multi-select picklist, for example Committed Levels of Care. You can check a field's type in Settings > Module Management > Module Fields & Layout.

Records where that field is filled in, so you can see the condition working.

Access requirements: nothing new. Anyone who can already build a workflow, report, list filter or rule on a screen can use the new operators there; each screen keeps its existing access rules.

If you pick a field and the three operators do not appear, the field is not a multi-select picklist. They are deliberately not offered for single-choice picklists or text fields.

2. The Three New Operators

Each operator compares the number of selected options with a whole number that you type.

Operator

The condition passes

when...

Example

Selections equals

exactly that many options are selected

Selections equals 2 : exactly two levels selected

Selections greater than

more options than the number are selected

Selections greater than 1 : two or more levels

Selections less

than

fewer options than the number are selected

Selections less than 1 : nothing selected at all

The operators sit in the same operator list as is, contains and the others, so you build the condition the usual way: pick the field, pick the operator, type the number.

Tip: An empty field counts as 0. To find records with nothing selected, use Selections less than 1 or Selections equals 0.

3. Use a Count in a Workflow

1. Go to Settings > Automation > Workflows and open a workflow, or click New workflow. The standard editor and the Visual editor both work.

2. In All Conditions or Any Conditions, click Add Condition.

3. Pick a multi-select field, for example Client Food Allergies on Leads.

4. Choose Selections greater than and type 1 in the box next to it.

5. Save the workflow.

The workflow now runs for a record with two or more allergies and skips a record with one. If the record is later edited down to a single allergy, the condition no longer passes, so the workflow does not run again for it.

The same operators work in scheduled workflows, which pick their records on a timetable.

Tip: When a "Selections" operator is chosen, the value box becomes a number box. Choose another operator, such as contains, and the box switches back to the list of options.

4. Filter a Report by Count

1. Open Reports and create a report, or edit one, on the module that has the multi-select field.

2. In the Filters step, or with Modify Report on an existing report, add a condition on the multi-select field.

3. Choose Selections equals and type 2 .

4. Save and run the report.

The report lists only the records with exactly two options selected. In the example below, both Leads have exactly two food allergies; Leads with one or three allergies are not listed.

Charts and dashboard widgets built on the report use the same filter.

5. List Views and Kanban Boards

List views: in a module's list, create or edit a list filter. A multi-select field offers the three operators next to its usual ones. The list then shows only the records that match the count. The same applies to Advanced Search.

Kanban boards: open a module's Kanban view and open the filter panel. Add a condition on a multi-select field with one of the three operators. Every column of the board then shows only the matching cards.

6. Status Indicator and Audit Score

Both are set up in Settings > Module Management > Module Fields & Layout, on the Status Indicator and Audit Score tabs.

1. Choose the module, then open the tab.

2. On a step (Status Indicator) or a field (Audit Score), open its Conditions.
3. Pick the multi-select field, choose a "Selections" operator and type the number.
4. Click Apply conditions, then Save.

In this example, Previous Treatment Types only counts as complete on an Intake Opportunity when more than one treatment type is selected.

Survey conditions (Settings > Configuration > Survey Settings) offer the same operators.

7. AI Agent Rules and iVerify Automation

AI agents: go to Settings > Integration > AI Agent Settings. The operators appear in the rule cards of the iRecover Agent, iRecover Lead Agent and iEngage Alumni Agent tabs, and in the Auto-Conversion Rules card of the iConnect Agent tab when the iConnect type is Lead.

iVerify automation: go to Settings > Configuration > iVerify Settings, click Edit, and use the iVerify Automation Rules card.

In both places, pick a multi-select field, choose one of the "Selections" operators and type the number, then click Save Rules.

Important: These rules drive automatic actions, such as re-verifying insurance or calling patients. A "Selections" condition without a number never matches anything, so it can never widen a rule to every record. iRecover and iVerify refuse to save it and ask you for the number.

8. Rules for the Number

Rule

What happens

Whole numbers

only, 0 or more

The box does not accept minus signs or decimals. A pasted value such as -3 or 1.5 is cleared rather than changed into another number.

Empty box

A message reads "Enter a whole number, 0 or more." Until a number is entered, the condition matches no records.

Empty field on a

record

Counts as 0 selected options.

Counted when it

runs

The count is checked every time the condition is evaluated, so it always reflects the record's current selections.

9. Frequently Asked Questions

Q: Why don't I see the new operators for my field? They only appear for multi-select picklist fields. Single-choice picklists and text fields keep their usual operators.

Q: Do my existing conditions change? No. All existing operators work exactly as before, and saved conditions keep their meaning.

Q: Can I compare the count with another field's value? Not in this version. The count is always compared with a number you type.

Q: Is there a "greater than or equal to" option? Not separately. Use Selections greater than with one less, for example Selections greater than 1 for "2 or more".

Q: Can I use the operators in Field Dependency rules or Digital Signature conditions? Not yet. Those screens check conditions in a different way and will be updated separately.

Q: What happens if I save a "Selections" condition with an empty number? The condition matches no records until you enter a number. In iRecover and iVerify automation rules, saving is refused until the number is filled in.
