Why Can't I See Report Data in the CRM? (CRM)

This article walks you through the reasons you may not see report data and how to resolve it.

If you’re unable to see data in a report, there are a few common reasons this could be happening. This article walks you through each one and how to resolve it.

1. Was the Report Shared With You?

Reports must be shared explicitly to be viewable by other users. If the report creator didn’t share the report with "All Users" or your specific user, you will not be able to view the report or its data.

How to fix:
To learn how to share a report properly with other users, refer to the Dazos CRM—Administration—How to Build a Report KB article.

2. Is Your User Tied to a Treatment Program in User Settings?

In user settings, there's a field called Treatment Program that limits what data a user can see across the CRM. If your user is tied to a specific treatment program, you will only see records (and therefore report data) associated with that program.

This means:

  • If Leads or Accounts don’t have a Treatment Program field populated (or don’t use this field at all), users tied to a treatment program will not see any report data based on those objects.

  • If your CRM is not properly configured to include treatment program data across all relevant records, the report will appear empty.

How to fix:

  • Only assign a Treatment Program in user settings if you want to limit a user’s visibility to a specific program’s data.

  • If you want the user to view all programs, simply leave the Treatment Program field blank in their user profile.

  • If you do plan to use treatment program filtering, ensure your CRM includes the Treatment Program field on Leads, Accounts, and any other relevant modules.
