Overview
This guide helps you diagnose and fix a situation where one or more users cannot view their pipeline, see data in the Admission Dashboard, or use Intake Opportunities correctly. The most common cause is an invalid or mismatched value in the user's Treatment Program field — such as a "placeholder" value or an outdated program name.
Symptoms
Pipeline only shows a subset of records (e.g., only Pending Transfers)
Admission Dashboard shows no data
Intake Opportunities are not working properly
Searching for a client returns a "Request Access" prompt instead of the record
The "All" list view is inaccessible or returns no results
Cause
When a user's Treatment Program field is set to an invalid or unrecognized value — such as "placeholder" or a program name that has since been renamed — the CRM cannot correctly filter and display data for that user. This prevents them from accessing list views, dashboards, and Intake Opportunities.
This issue can also occur across multiple users at once if Treatment Program names are renamed at the system level. When program names change, any existing user assignments that reference the old name become mismatched and must be manually corrected for each affected user.
⚠️ Important: Even if a Treatment Program value (such as "placeholder") was intentionally created for workflow automation purposes, if the value no longer matches a valid, active program name in the system, it will cause data access issues for assigned users.
Solution
Go to Settings.
Select CRM Settings.
Click User Management.
Open Users and find the affected user.
Scroll to the User Login & Role section.
Click the Edit (pencil) icon next to the Treatment Program field.
Remove the invalid or placeholder value, and replace it with the correct, currently active Treatment Program name(s) the user needs access to. If the user should have no program restriction, remove the value entirely.
Ask the affected user to log out and log back in to the CRM so the changes take full effect.
💡 Tip: If multiple users are affected — for example, after a system-wide Treatment Program rename — review all active users and update their Treatment Program assignments one by one to ensure each one references a valid, current program name.
Verification / Expected Result
After updating the Treatment Program field to a valid value and having the user log back in, they should be able to:
View their full pipeline with all expected records
See data populated in the Admission Dashboard
Access and use Intake Opportunities normally
Search for and open client records without receiving an access prompt

If you have corrected the Treatment Program field for all affected users but the issue persists, please contact Dazos Support. Provide the affected user name(s), the Treatment Program value(s) involved, and a description of what is still not working.
